View Quotes

Review and update Sales Quotes from a single page.

Go to the View Quotes page for an overview of the Sales Quotes that have been created in your account. You can then print, email, and progress your Sales Quotes individually, or in bulk, from the same page.

To access the View Quotes page, go to the main menu and select > Sales > Quotes > View Quotes.

Managing Sales Quotes


Manage your view

By default, the View Quotes page will list all open Sales Quotes in ascending order of their Quote Number. Open Sales Quotes account for any Sales Quote with a Draft or Pending status.

At the top of the View Quotes page, there are two functional buttons available:

  • Export: Downloads the current View Quotes layout in either a PDF, CSV or XLSX format.

  • Add Quote: Opens the Add Quote, allowing you to create a new Sales Quote from scratch.

Filter your Sales Quotes

Use the filter fields available at the top of the View Quotes page to specify which Sales Quotes should be displayed, making it easier for you to review and update them.

Description

Quote Status

Use the drop-down menu to filter Sales Quotes by their current status. The options available are:

  • All

  • Open

  • Draft

  • Pending

  • Cancelled

  • Accepted

  • Deleted

Quote Number

Filter for Sales Quotes that include the text entered.

Customer

Filter for Sales Quotes where the customer's code or name matches the text entered.

Warehouse

Use the drop-down menu to filter for Sales Quotes with the Warehouse assigned.

Quote Date From

Filter for Sales Quotes where their Quote Date is on or after the date selected.

Quote Date To

Filter for Sales Quotes where their Quote Date is before or on the date selected.

Customer Reference

Filter for Sales Quotes where their customer reference matches the text entered.

Delivery Method

Use the drop-down menu to filter for Sales Quotes with the Delivery Method assigned.

Printed

Use the drop-down to filter for Sales Quotes that have either been printed or not.


Customise the View Quotes layout

The detail that's displayed per Sales Quote in the View Quotes page is determined by column headers that are included in the page's grid layout.

View Quotes' column headers

The columns that are displayed by default in your View Quotes page are described in the table below.

Description

Action Cog

Use the tick boxes from this column to select multiple Sales Quotes from the same page. Hover over the header's action cog icon to select one of the following actions:

  • Select All

  • Select None

  • Accept

  • Cancel

  • Email

  • Print

  • Delete

Quote No.

Displays the Sales Quote's unique transaction number.

Quote Date

Displays the Quote Date set in the Sales Quote.

Quote Expiry Date

Displays the Expiry Date set in the Sales Quote. If the Expiry Date has passed, the date will be highlighted in red.

Customer Code

Displays the customer's unique customer code.

Customer Name

Displays the customer's unique name.

Reference

Displays the Customer Reference saved in the Sales Quote.

Warehouse

Displays the name of the Warehouse the Sales Quote has assigned.

Status

Indicates the Sales Quote's current status.

Currency

Displays the customer's currency.

Cost

Displays the total stock value of the products on the Sales Quote.

Margin

Displays the total margin calculated for the Sales Quote.

Total

Displays the total sale value of the Sales Quote.

Contact Name

Displays the name of the customer's primary contact.

Action

Hover over the action cog to apply one of the following actions to the Sales Quote:

  • Edit

  • Email

  • Print

  • Clone

  • Accept

  • Cancel

  • Delete

If a Sales Quote is in Accepted or Deleted status, only the Edit, Print, Email, and Clone options will be available.

View Quotes' Hidden Columns

There are additional columns you can display on the View Quotes page, which can be found in the Show Toolbar tab's Hidden Column. Drag and drop the column header from the Hidden Columns pop-up window into your grid's layout to populate the column's detail per Sales Quote in your view.

View Assemblies' default column header

Description

Comments

Displays the comments that have been saved on the Sales Quote.

Contact Email

Displays the customer's primary contact's email.

Contact Phone

Displays the customer's primary contact's phone number.

Customer Type

Indicates which Customer Type the customer is assigned.

Delivery Method

Indicates which Delivery Method the Sales Quote is assigned.

Printed

Indicates if the Sales Quote has been printed. A tick will be displayed if it has been printed, and a cross will be displayed if it has not been printed.

Sales Group

Indicates which Sales Group the Sales Quote is assigned to.

Sales Order Number

Displays the first number of the first Sales Order that has been created from the Sales Quote.

Sales Person

Indicates which Sales Person has been assigned to the Sales Quote.

Manage custom layouts

Customize how the Sales Quote details are displayed by adjusting the column widths, dragging and dropping columns into their preferred position, and clicking on the header to sort the Sales Quotes into ascending or descending order. You can also drag and drop column headers into the grey space above the other column headers to group Sales Quotes by that column's detail, in an expandable format.

After customizing your column layout, save it for future use:

  1. Click on the Show Toolbar tab.

  2. Select New.

  3. Enter a unique name for the new layout.

  4. Click Add.

The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.

Edits can be made to your custom grid layout at any time; just click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.

Default grid layouts

Initially, whenever you navigate to the View Quotes page, the default grid layout "None" will be displayed.

To make one of your own custom grid layouts the default view:

  1. Click on the Show Toolbar tab.

  2. Select the layout from the Grid Layout drop-down menu

  3. Tick the Default checkbox.

  4. Click Save.

Share grid layouts

If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:

  1. Click on the Show Toolbar tab.

  2. Select the layout from the Grid Layout drop-down menu

  3. Tick the Shared checkbox.

  4. Click Save.

The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the View Quotes page.
