A Sales Quote (SQ) is a document created to outline the prospective products and services to be sold to a customer. It does not have any impact on your inventory's stock or allocations, but if the Sales Quote is accepted, it can be converted into a Sales Order for further progression through the sale and dispatch process.
As Sales Quotes are managed as separate transactions from Sales Orders, their transaction numbers will use a prefix that differs from Sales Orders. To manage the prefixes used to auto-generate unique transaction numbers when a new SQ is created, head to Settings > System > Prefixes.
Prerequisites for creating Sales Quotes
To create a Sales Quote, you first need to ensure the following conditions are met:
"Sales Quotes" is enabled in your account, under Settings > Company > Configuration.
The customer being quoted exists as a customer record.
The products and services being quoted exist as products in your inventory.
🤓 Tip: If you've added a new product to your inventory, provide a "Nominal Cost" in its Purchase tab to allow a Sales Quote to calculate an appropriate profit and margin for it.
Sales Quote role permissions
Determine which users can create, manage, and accept Sales Quotes, by enabling the "Sales Quote" and "View Sales Quotes" role permissions. You can also determine which users see the Average Profit, Cost, Margin, and Profit displayed on the View Quotes page, and the Margin, Profit and Unit Price in a Sales Quote, by granting their respective sub-permissions too.

A Sales Quote can be created in one of the following ways:
Add Sales Quote
To create a new Sales Quote:
From the main menu, go to Sales >Quotes > Add Quote.
Use the Customer Code or Customer Name fields to search and select the customer you are creating the Sales Quote for. Or click on the magnifying glass icon for an advanced search option. If the customer doesn't exist already, type a value in the Customer Code field, then select "Add New Customer" to create them.
A Sales Quote will be created in Draft status, with an auto-generated Sales Quote Number.
Add Quote from a customer's record
Open the customer's record.
Click on Add Quote.
A blank Sales Quote for the customer will be created in Draft status, with an auto-generated Sales Quote Number.
Add Quote from View Customers
From the main menu, go to Customers > View Customers.
Hover over the action cog icon in the customer's row.
Select Add Quote.
A blank Sales Quote for the customer will be created in Draft status, with an auto-generated Sales Quote Number.
Create Quote from a product's record
Open the product's record.
Click on the Product drop-down icon.
Select Create Quote.

Create Quote from View Products
From the main menu, go to Inventory > Products > View Products.
Hover over the action cog icon in the product's row.
Select Quote.
Use the Customer Code or Customer Name fields to search and select the customer you are creating the Sales Quote for. Or click on the magnifying glass icon for an advanced search option. If the customer doesn't exist already, type a value in the Customer Code field, then select "Add New Customer" to create them.
A Sales Quote will be created in Draft status, with an auto-generated Sales Quote Number, and the product will be pre-populated in the Quote Lines' Product field.
Clone a Sales Quote
To recreate an existing Sales Quote:
Open the original Sales Quote.
Select Clone, in the top right corner.
Enter the details for the new Sales Quote in the pop-up window provided:
Customer (required)
Customer Reference (optional)
Expiry Date (optional)
Use customer/product price and discount (optional)
Select Clone Sales Quote.
A replica Sales Quote will be created in Draft status, with a unique auto-generated Sales Quote Number.
Sales Quote details
After a Sales Quote has been created, you can provide further context for the quote in the field available at the top of the Sales Quote page, and enter the products and charges to be included in the Quote Lines tab.
Sales Quote detail | Description |
Customer Reference | A free text field where the customer's reference for the quote can be stored. |
Discount (%) | Enter a value to apply the discount to all products added as Quote Lines, unless the customer has customer pricing set for the product. |
Tax Rate | Use the drop-down menu to select the tax rate to apply to the SQ. The customer and product's default tax rates will take precedence. |
Warehouse | Use the drop-down menu to select the warehouse where the quoted stock would be dispatched, if converted to a Sales Order. |
Delivery Method | Use the drop-down menu to select which Delivery Method would be used if converted to a Sales Order. |
Delivery Instruction | A free text field to provide any details regarding delivery. If a Delivery Address is selected, the Delivery Instruction will auto-populate from the address's details in the customer. Any changes made to the Delivery Address's Delivery Instruction in the SQ will automatically update the Delivery Instruction for the address in the customer's record. |
Delivery Contact | If the customer has a contact saved in their record in the Contacts tab, use the drop-down menu to assign them to the SQ. |
Delivery Address | If the Delivery Contact has a Delivery Address allocated in the customer's Contacts tab, the Delivery Address and subsequent address fields will auto-populate. Use the drop-down menu in the SQ to select an alternative address. |
Address Line 1 | The first line of the delivery address. |
Address Line 2 | The second line of the delivery address. |
Suburb | The suburb of the delivery address. |
City | The city of the delivery address. |
State/Region | The state or region of the delivery address. |
Post Code | The postcode of the delivery address. |
Country | A drop-down menu for the Country of the delivery address. |
Sales Person | A drop-down menu to assign a Sales Person to the SQ. If the customer has a default Sales Person, they will be assigned to the SQ automatically. |
Sales Order Group | A drop-down menu to assign a Sales Group to the SQ. If the customer has a default Sales Group, it will be assigned to the SQ automatically. |
Quote Date | By default, the date the SQ was created will populate, but you can select the field to set an alternative date. |
Quote Expiry Date | By default, the quote's expiry date will be calculated for 30 days after the Quote Date, but you can select the field to set an alternative expiry date. |
Template | Use the drop-down menu to select the Sales Quote Doc Designer template that will be used when the SQ is printed or emailed. |
Quote Lines
In the Quote Lines tab, add and manage each product's quoted quantity and price.
To add a new line to a Sales Quote:
Open the Sales Quote.
Use the Product field to search and select the product being quoted. You can search for products by their Product Code, Product Description or base unit barcode, or use the magnifying glass icon for an advanced search, including Product Group and Supplier Product Code.
Fill in the remaining Quote Line fields as required:
Quantity
Price
Discount
Comments
Click Add.
🤓 Tip: By default, the product's price will populate using the sales pricing hierarchy. Hover over the i icon on the Price field when adding a quote line for an overview of the product's pricing structure.
Once a Quote Line's been added to an SQ, the fields and functions described in the table below will be displayed to provide further context and detail.

Ln (Line) | Displays the product's quote line number. |
Image | Displays the product's default image. |
Product Code | Displays the product's unique product code. Hover over the product code to see an overview of the product's current inventory position for the SQ's Warehouse. |
Product Description | Displays the product's unique product description. |
Quantity | The number of base units quoted from the product's SOH. Click on the field to edit. |
Unit Price | The price per unit being quoted, click on the field to edit. |
Discount | Displays the percentage discount being applied to the quote line. Click on the field to edit. |
Disc. Price | Displays the per unit value being discounted. Click on the field to edit. |
Line Tax Rate | Displays the sales tax rate being applied to the product. |
Line Total | Displays the total price being quoted for the product, calculated as Quantity x Disc. Price. |
Margin | Displays the profit margin that's been calculated for the product, using the product's current Average Landed Cost (ALC), or Nominal Cost if the product does not have an ALC. |
Line Comments | Hover over the speech bubble icon to view or add any additional notes to the quote line. |
Delete | Click on the bin icon to delete the line from the SQ. |
Sales Quote margins
The margin percentage calculated for each line of a Sales Quote is calculated using the quoted product's price versus its cost. A costing hierarchy is applied in Sales Quotes to ensure the most accurate and appropriate margin is calculated. The costing hierarchy for calculating margins in a Sales Quote is as follows:
If a product has a Nominal Cost, this will take precedence.
If a product has no Nominal Cost, its ALC will be used.
If a product has no Nominal Cost and no Stock on Hand (SOH), therefore a zero ALC, the product's Last Cost will be used.
If a product has no Nominal Cost, ALC or Last Cost, the quoted product's margin will be calculated using a zero.
A product's Nominal Cost can be updated at any time by going to the product's record, in the Purchase tab, update the Nominal Cost field and save. The "Nominal Cost" is only used in the quoting process and does not carry through to the Sales Order.
Sales Quote charges
Include additional charges like shipping, freight or labor on Sales Quotes in the Charge grid, displayed under the Quote Lines. Charges can be added as either:
A free-text charge, which does not account for any costs incurred by your business. These are useful for ad hoc charges that aren't typically repeated or reported on.
A Never Diminishing Product (NDP), which you can set up to auto-populate the price, tax, and Sales Account to be used when added to a Sales Quote.
To add a free-text charge to a Sales Quote:
Open the Sales Quote and go to the bottom of the Quote Lines tab.
Enter a description for the charge in the Charge field.
Enter the charge's price in the Price field, the customer's default tax will apply be default.
Select Add.
To add an NDP charge to a Sales Quote:
Open the Sales Quote and go to the bottom of the Quote Lines tab.
Use the Charge field to search and select the NDP.
The NDP's sell price will populate in the Price field, but is available to edit. If a default sales tax is set on the product, this will populate, otherwise the customer's tax will apply.
Select Add.
If you are integrated with Xero or Quickbooks, you will also see a drop-down menu to select which Sales Account the charge will export to if the quote progresses to a sale.
Attachments
Upload external documentation or files to your Sales Quote using the Attachment tab. The attachments saved on the Sales Quote will then be stored for reference and available to attach to any emails created from your Sales Quote.
Below the Sales Quote's header fields, select the Attachments tab, and from here you can select either "browse local files" to upload from your device, or "search uploaded files" to attach from your existing File Library.

We currently support uploading of the following file types: gif, png, jpg, jpeg, bmp, pdf, csv, doc, docx, xls, xlsx, webp.
Individual files can be a maximum of 20 MB in size.
Entities can have a maximum of 50 files attached to them, and an individual file can be attached to 50 entities.
Manage Sales Quotes
Use the statuses available in Sales Quotes to effectively manage quotes during the prospective sales process. The table below describes how each status is designed to be used.
Sales Quote status | Description |
Draft | By default, Sales Quotes are created in a "Draft" status. Typically, this status is used during the quote's creation, before sharing it with your prospective customer. Edits and adjustments can be made at any time whilst a Sales Quote is in Draft status. |
Pending | When a Sales Quote has been shared with a customer, save is as Pending. This status is used to highlight quotes that are currently under customer review and haven't been accepted or rejected yet. |
Cancelled | If a Sales Quote has been rejected, update its status to Cancelled. A cancelled Sales Quote is no longer an active transaction but can be reverted to Draft or Pending status if it is revisited at a later date. |
Accepted | When a Sales Quote is approved by the customer, update it to the Accepted status, and a Sales Order can then be created from the Sales Quote to progress it. A Sales Quote in Accepted status cannot be edited, reverted to another status, or deleted. |
In a Sales Quote, click on the Save button's drop-down menu to update an open Sales Quote to either Draft, Pending, or Cancelled status. And click on Accept Quote to update the Sales Quote to Accepted status.
Delete a Sales Quote
If a Sales Quote is no longer needed, but doesn't qualify as a Cancelled Sales Quote, it can be deleted by click in the red Delete button in the bottom right corner of the Sales Quote. After a Sales Quote is deleted, it cannot be printed, emailed or edited.
However, if a deleted Sales Quote is later required for further use, click on the red Undelete button in the bottom right corner of the Sales Quote. The Sales Quote will then be restored to Draft status.
Print and email Sales Quotes
At the bottom of a Sales Quote, you have the option to print or email a Sales Quote. When either is selected, a PDF version of the Sales Quote is generated, using the Sales Quote Doc Designer template selected in the Sales Quote's Template field.
Email a Sales Quote
Send the Sales Quote to your prospective customer by clicking on Email in the bottom right corner of the Sales Quote's page. By default, the customer's primary contact and default cc email address will populate in the "Email Sales Quote" window, and the email's Subject and Body will populate from your account's email templates. But you can make any necessary adjustments to the recipients, subject and body of the email, as required. Click on Attach Files to include any documents that have been attached to the Sales Quote, and tick the "Send me a copy" checkbox to include yourself as a recipient. Click Send in the Email Sales Quote to deliver it to your recipients.
View Email Log
To review the emails that have been sent from the Sales Quote, click View Email Log at the bottom of the Sales Quote. The email log does not show each email's contents, but it will show the following details:
Sender (Unleashed user's login address)
Recipient
CC
Subject
Type (e.g. Sales Quote)
Time (date and time the email was sent)
Create a Sales Order from a Quote
After a Sales Quote has reached Accepted status, it can be used to create new Sales Orders, pre-populated with the same details, lines and charges as the Sales Quote.
Points to note
Attachments of a Sales Quote are not automatically attached to the Sales Orders created from it.
Multiple Sales Orders can be created from a Sales Quote.
The Sales Order Number generated for a Sales Order created from a Sales Quote will follow-on from the last Sales Order Number, it will no replicate the Sales Quote's number.
The new Sales Order can be updated and edited for any necessary adjustments, regardless of its original Sales Quote's status.
Create a Sales Order
To create a Sales Order from a Sales Quote:
Open the Accepted Sales Quote.
In the top right corner, click on Create Order.
A new Sales Order will be created in Parked status with an auto-generated Sales Order number.
To provide traceability, the Sales Order will show the Sales Quote's transaction number in a field at the top of the Sales Order. Click on the "Quote Number" field name in the Sales Order to open the Sales Quote it was created from. Similarly, the Sales Quote will show the Sales Order Number of the first Sales Order that was created from it. Click on the "Sales Order Number" field name in the Sales Quote to open the Sales Enquiry, pre-filtered to populate only Sales Orders created from the Sales Quote.

Can Batch and Serial Numbers be printed on Sales Quotes?
Can Batch and Serial Numbers be printed on Sales Quotes?
Batch and Serial Numbers cannot be printed on Sales Quotes. Since Sales Quotes don't allocate stock from your inventory, they don't assign Batch or Serial Numbers to products. These numbers are only assigned when stock is allocated for dispatch on Sales Orders and Shipments.
