Check-In 2023-24

Information for check-in for the 2023-24 academic year

The information below is only relevant to students booked directly with urbanest. If you have booked with a partner university, please see them for more information about check-in.

Before check-in

Before you head to urbanest to get your keys, you need to have completed the following four tasks:

  1. Uploaded all of the required tenancy documents on your portal

  2. Completed your Check-In form (available via your urbanest portal).

  3. Booked your arrival slot (via your urbanest portal)

  4. Paid any monies owed (such as rent)

How do I check-in?

Simply head to your urbanest reception during your allotted check-in time with your original photo ID so that we can confirm your identity, and a member of the team will give you your keys then direct you to your room:

  • If you have a balance on your account, this will need paid before you get your keys

  • You will not be able to check-in unless your tenancy documents have been uploaded in advance.

  • If you arrive without having booked a check-in slot, you will likely be asked to come back at a later date/time.

  • You need to have completed your check-in form in advance of your arrival.

Please note that payments can only be made online via your portal, so we always recommend that you pay in advance of arrival as per your tenancy agreement.

When can I check in?

For September check-ins, you can book any available arrival slot on your portal. Please note that if you arrive without having booked a check-in slot, you will likely be asked to come back at a later date/time.

During the academic year (October-June) or in the summer, check-in is from 3pm on your tenancy start date, and then any time day or night from then.

Can I arrive earlier than my tenancy start date?

Due to the short time between tenancies, early arrivals are not possible for the 2024- 25 academic year.
