Kojo is the leading materials procurement platform, used by Contractors across the country to connect with Vendors and order the construction materials they need. When a Contractor is using Kojo, Vendors benefit because it's easy to submit a bid and get it noticed - and the Contractor can turn around a PO to you rapidly, in just a few clicks.

We’ve made enhancements to the Vendor Bid Portal to make it easier for you to copy and paste information, add replacement items, and much more! Check out the details below.

Step 1: Receive Bid

When a Contractor sends you a Request For Quote (RFQ) from Kojo, you'll get an email that alerts you.

Simply click the "Enter Bid" button in the email to access the Vendor Bid Portal. There's no need for you to log in - you'll be directed to a webpage where you can submit your bid. You can submit information on pricing and availability, suggest replacements, and upload attachments.

Step 2: Review Bid Details

Here is where you can view information that was supplied in the email such as who is requesting the bid, the need by date, and when the date the bid needs to be submitted.

Step 3: Review Requested Items

Next, you are able to start inserting product and cost information for the bid. There are a few buttons and functionality that we want to point out.

  1. No Quote: If there is a product in the RFQ that you do not have available, you can click the No Quote button. This will grey it out and show your Contractor that you can not provide this item.

  2. Quote Item: If you have selected No Quote for a product but need to undo this action and provide a quote, click the Quote Item button to bring back the quote fields.

  3. Add Replacement: Use this option if a product is quoted but you have a different product that can replace the original item or the product requested requires additional items not listed. When clicking this option, an additional line item will appear and additional line items can be added.

  4. UOM: Select from a pre-populated list the unit of measure used for the product being quoted.

  5. Unit Price: Price of the product you are quoting.

  6. Ext. Price: Known as Extended Price, this is the aggregate price of the quantity requested and the unit price.

  7. BO Qty: The amount of product requested that is back-ordered. Enter the number of items here.

  8. BO Date: The date that the back-ordered products will be available.

  9. Notes: Open text space to record notes for the contractor.

Note: The columns for Unit Price, Ext. Price, and BO Qty are presented in a table. You can copy and paste values from other sources into these columns.

Step 4: Add attachments

Upload any attachments that contain additional information needed by the Contractor.

Step 5: Enter your quote

To complete your bid, enter the final quote information before sending including the subtotal, discounts, the assigned salesperson, and additional notes.

Once completed, hit the Submit Quote button to send!

The Contractor is then alerted that you've submitted a bid, and they can easily review it and respond by issuing a PO in just a few clicks - so you get orders faster!
