Here's what we've been up to this past month:


Features and Enhancements for EVERYONE

Customer Referral Program

Support your fellow trades workers in cutting down on costs and earn $100 for every eligible referral!

How it works:

  • Enter your referral nomination (click the image below to access the nomination page). This is not limited to contractors in your trade.

  • Tell us a little bit about them, and to help facilitate the relationship, let them know we’ll be reaching out.

  • Earn your reward once your referral meet with our sales team (this may take some time to coordinate schedules so sit tight).

Mechanical Quick Order

What is it:

For our Mechanical customers, this new feature promises to make it even faster and easier to create Requisitions by tapping instead of typing! Users can tap on as many or as few options as they want to create clear, concise material descriptions.


Features and Enhancements for the Office

Invoice Matching Beta

Problem we solve:

Our customers receive dozens, and in some cases, thousands of invoices a week! The process, even with the use of reconciliation software, requires a lot of manual intervention. Without software, multiple people must be hired to manage the constant flow of invoices. This is an inefficient, expensive process requiring massive amounts of manual data entry and is very prone to error!

Manual data entry is a chore for our customers. Functionality in Kojo that reduces the amount of data entered manually, while also increasing accuracy and efficiency, is valuable to our users! Much of this data entry relates to the various documents used in the procurement process. Documents such as Order Acknowledgements (OA), Vendor Bids, and Invoices are delivered to our customers outside of Kojo, and are then manually entered into our system. We want to leverage IDP technology to make these processes as hands-off and automatic as possible!

Why we solved it:

Effective spend management improves business profitability, reduces cash flow leaks and maintains supplier relationships. For our users to be “power buyers” the spend management activities in their procurement flow need to be consistent and accurate. Invoice reconciliation is a critical activity that all our customers need to do to ensure they are paying the right amounts at the right times!

Additionally, for Sage 300 customers, we can now push material invoices received in Kojo to the Sage 300 AP module!

Intelligent Order Acknowledgments

What is it:

Intelligent Order Acknowledgments gives customers the ability to upload their vendor acknowledgment pricing into Kojo without the manual work. Our platform scans the data and updates their purchase orders while syndicating this data to a customer’s ERP.

The benefits:

  • Eliminate manual data entry to save purchasing team's time

  • Reduce human error and keep pricing accurate

  • Ensure PO data is accurate and up-to-date in their ERP system

Customers can:

  • Upload order acknowledgments into Kojo and have PO pricing info updated automatically

  • Have job costing info up-to-date and accurate at all times

  • Reduce human error with PO pricing info seamlessly transferred to your ERP

The latest:

In our ongoing quest of continuous improvement, we have been reviewing customer feedback on suboptimal scans and have adjusted the scan model accordingly! We have also added support to upload and scan multiple Order Acknowledgments on the same PO.

Attachments: "Send w/ Request" On by Default

What is it:

On the "Attachments" tab of a PO in Kojo Office, the checkbox "Send w/ Request" determines whether the attachments will be included in the outbound email transmission to a vendor. Previously, this checkbox was un-checked by default. We changed this to checked by default to better mirror how typical communication programs with attachments operate!

Features and Enhancements for the Warehouse

User Role Switching

Problem we solve:

Warehouse customers often wear multiple hats as both a warehouser and purchaser, and often help the field by receiving material and submitting requisitions. They are like the air traffic controller for their organization! It is time consuming and painful to have to switch between logins to perform these operations on both Kojo Office and Kojo Jobsite.

How it works:

Admins can give all Procurement and BackOffice users at their organization the ability to quickly switch views between Warehouse, Office (which includes Warehouse), and Field!

How to set it up:

  1. Navigate to Admin > Settings > Company > Settings

  2. Check the box under “User Settings” for “Allow office users to access warehouse and field”

  3. Make sure Kojo Jobsite is up-to-date


Preserve Description and Pre-Populate UOM when Creating Inventory Item(s)

Previously, when a user created an inventory item via Requisition splitting, the description would default back to the requested description - now it doesn't - we keep the information entered! Kojo also pre-populates the Unit of Measure that was entered by the Field user.

Hide Warehouse in Kojo Jobsite

Kojo Warehouse customers now have the ability to hide Warehouse as a source for field ordering. This can be helpful if a customer prefers to use the Requisition Splitting feature to have a warehouser or purchaser choose what is fulfilled by the warehouse.

How to set it up:

  1. Navigate to Admin > Settings > Setup > Warehouse

  2. Un-check the box under “Inventory” for “Show field users warehouse inventory”

  3. Make sure Kojo Jobsite is up-to-date


Warehouse Receiving Parity

We now have feature parity between Field delivery records and Warehouse delivery records!

  1. Users can see other deliveries related to the same PO under Delivery History

  2. Packing slip photos will show up under attachments

  3. Layout and organization matches field deliveries
