Features and Enhancements for the Field

Jobsite Mobile Configuration

In the past, a customer could contact their CSM to request a customized experience with Kojo Jobsite, such as disabling the Catalog from their Field team. The CSM would collaborate with our Engineering team to fulfill the request.

In our ongoing quest to provide our customers with as many self-service customization option as possible, we have now empowered you to do this yourselves!

"Receive-Only" User Configuration

We've heard from some of our customers that the new apprentice gets to check-in material when the vendor's delivery truck rolls up to the site (pay your dues and all that).

Folks in the office still want this material Received in Kojo Jobsite Mobile, and Journeyman don't want the apprentice to be able to do anything else in Kojo.

Solution?

A new configuration where a Kojo user can see the "Status" and "Receive" tabs in Kojo Jobsite Mobile, and that's it!

How it works:

Admins can go into the Kojo Admin page

  • Company

    • Users

      • Options

        • Modify Permissions

Toggle off the new option at the bottom, "Create and Send Requisitions", and you're all set!

Features and Enhancements for the Office

New Analytics Page

In addition to the existing analytics available on any Job, we have recently created a new Analytics page that acts as a filterable dashboard focusing on Usage and Spend!

As of the first of the year, we have also migrated our reporting to a new system with more robust functionality for creating custom reports and hired our first Data Scientist! Look for more exciting data-related updates as he gets more acquainted with Kojo and gets the lab fully up and running!


Requisition Approvals

When the Field requests material, some of our customers need intermediate approval step(s) before the Requisition goes to Purchasing to be ordered. This need exists for several reasons including:

  • Some jobs require specific brands to be used for projects, such as hospitals

  • Project managers want to better control costs for material spend

  • Field supervisors want to streamline requisitions from multiple field users

To support these business goals of our customers, we have created our first version of Requisition Approval Workflows!

Invoice Matching

Our newest flagship feature, Kojo Invoice Matching, saves Accounts Payable teams countless hours and avoids costly errors by helping surface discrepancies between a Purchase Order, Delivery Receipt (if logged by the Field), and the Vendor Invoice!

How it works:

New Invoice Matching Feature: Automated Email Ingestion

By automatically ingesting invoices, teams can reduce data entry costs and hassle, streamline the accounts receivable process, and allow for faster and more accurate identification and processing of invoices! The automation also allows teams to easily identify any duplicate invoices from the same vendor and flag them for resolution. Last, automated invoice ingestion can help teams improve their cash flow tracking and create value-added reporting to better facilitate data-driven decision-making!

How it works:

Instead of uploading an invoice to Kojo manually, customers can email an invoice PDF to Kojo where the invoice will then be uploaded and scanned into the system automatically!

  • Invoices are sent to one of two email addresses:

  • Kojo knows which customer is associated with a received PO based on the email address of the user who emailed the invoice to Kojo!

    • When emailing an invoice to Kojo, users must send from an email address connected to a Kojo user in their organization.

  • Multiple invoice PDFs can be attached and sent in a single email to Kojo. Kojo will then upload and scan each invoice individually!

    • If multiple invoices exist in a single PDF, they will be treated as a single invoice in Kojo upon upload.

  • Invoices emailed to Kojo will appear in the “Inbox” tab where they can be viewed, mapped, and moved to “Pending”.

New Invoice Matching Feature: Bulk Export

We have learned that there is a lot of variety in Accounts Payable processes across our customers! Some of those processes require the invoice data, either as a PDF or CSV file, to be uploaded in various places outside of Kojo. The existing process of exporting individual invoices one-by-one took more time than customers wanted to spend, especially when dealing with dozens or even hundreds of invoices! By being able to export invoices in bulk, we've made it easier for our customers to get the most value out of our Kojo Invoice Matching feature!

RFQ Quotes Tab: New Ext. Price Column

You spoke, we listened! Some of our valued customers asked for an Ext. Price column in the Quotes tab of an RFQ (similar to a PO), so we added one!


Tab Counts

A small polish added to all tabbed pages in Kojo Office, our customers can now see at a glance how many items live in each queue!


Features and Enhancements for Integrations

QuickBooks Online: Invoice Linking

Our customers' Accounts Payable teams need to be as efficient as possible in order to process the large number of invoices they receive. Our customers needed a faster way to get their invoice data from Kojo into their accounting system!

How it works:

Once a customer's QuickBooks Online > Kojo integration is established, it's easy to enable our new integration with invoices! After a user approves and reconciles an invoice in Kojo, they will have the option to link the invoice back to QuickBooks Online. The linked invoice data is then automatically sent from Kojo to QuickBooks!

Foundation: Import Unit of Measure

Previously, if an invalid Unit of Measure was sent to Foundation, this accounting software would default the UOM to "EA". This created Ext. Pricing issues for UOMs of "C" (price per hundred) & "M" (price per thousand).

How it works:

Kojo now imports UOMs that are setup in Foundation! Now, when creating a PO in Kojo, you can select the UOM(s) that are valid to be sent back to Foundation.

Sage 300: Sub Job Extra

Kojo now supports use of the "Sub Job Extra" in Sage 300!

One use case for this new feature is to support customers that keep track of a budget for General Contractor-requested change orders in this field. To attribute the budget correctly, new PO line items for that change order have to be attributed to that change order's Sub Job.

Features and Enhancements for the Warehouse

Warehouse Inventory Photos

Identifying material can be hard for both the Warehouse and the Field. Descriptions might not be under a name someone recognizes, and reading descriptions takes time as well. Viewing pictures is much faster to process mentally and reduces confusion, so we added this functionality to Kojo Warehouse!

Warehouse Inventory UPCs

Purchase Orders in Kojo currently allow users to add a UPC for each item. Previously, Kojo saved the last paid price for an item only when a UPC was added to that field. Warehouse nor POs had a standard field for a part ID - now they do!

Now when material is received into the Warehouse, Kojo will match items based on Description, Unit of Measure, and UPC! Kojo treats all three as a unique key with priority given to a UPC.

We've recently updated the look, feel, and functionality of our website (www.usekojo.com) - check it out and tell your friends!


New Password Requirements / Single Sign On

As part of Kojo's strong commitment to the security of the data of our customers, we have recently implemented additional password requirements. This also coincides with the introduction of Single Sign On capabilities for our enterprise customers, and multi-factor authentication coming soon!

User Role Switching

For BackOffice and Procurement users in Kojo, you now have the ability to switch between the views of multiple roles seamlessly within both Kojo Jobsite and Kojo Office! If your business has Warehouse staff that also does Purchasing, this new feature makes it simple to view everything you need for both functions!

Customers that perform work for multiple, separate companies under one parent organization can now easily change "org hats" with just a click!

Last year, we introduced Spanish language support in the Kojo Jobsite Mobile app, and now we have a Kojo Academy Jobsite Training Course, also en español!
