Learn how to use the Tool Tracking feature in Kojo!

In order to be able to access and use the Tool Tracking feature in Kojo, your Organization does need to have access to the Warehouse feature. If this is something you would like to add to your account, please reach out directly to your CSM!

Tools List Page

This page provides a list of tools. All tools are listed individually since we track the lifecycle of each tool. You can see a list of each tool’s tool ID, description, current assignee, current job, inventory location, status, and last check in / check out dates.

  • To access the Tool List Page, navigate to Warehouse > Inventory then click the Tools tab at the top.

  • You can apply advanced filters by clicking the Apply Filters button:

    • Jobs will filter to current jobs that the tools are checked out to

    • Inventory location will filter to current locations the tools are stored in

    • Other filters include: Status, Assignee, Check In date range, Check out date range, Tool ID, Serial number, MPN, Model number, Purchase date range, Purchase price range, and Purchase vendor.

  • Users can bulk delete tools, bulk move tools to another inventory location, check in tools in bulk, check out tools in bulk, bulk upload, and add new tools individually.

Tool Statuses & Lifecycle

Kojo tracks changes to a tool’s lifecycle, such as status changes or inventory location changes. Here are the following statuses a tool can have and what they mean:

  • Available: The tool is functional and available for use. It has been checked into the tool crib.

  • In Use: The tool is currently being used on a jobsite. It must be checked in to be Available.

  • Damaged: Tool has been damaged.

  • In Service: Tool is being serviced currently.

  • Lost: Tool is reported as lost.

  • Retired: Tool is no longer used, but you want to keep the tool record rather than deleting the tool.

  • Stolen: Tool has been reported as stolen.

Users can see the history of status changes on the tool’s detail page.

Tool Detail Page

  • On this page, Users can view and edit the following details of the tool:

    • Description

    • ID

    • Manufacturer part number (MPN)

    • Purchase date

    • Serial number

    • Model number

    • Status

    • Tool purchase cost

    • Vendor

    • Location

    • Assignee

    • Job

  • On this page, Users can see a history of the tool’s assignees, jobs, and status changes.

  • Users can upload, move, delete, and view images of the tool.

Field Mobile

Field users can search or browse for tools on the mobile app, just like they can for material.

  1. To browse, click on “Warehouse” then click on the tab to tap between Materials and Tools

  2. When you click “Add Items” on the field app homepage, you can also search for tools from there. The list of tools that match the search query will show up under “Warehouse Tools”.

    • To hide tools from search, the User can turn Warehouse Tools off in the Field section of your Admin Settings under "Setup". Keep in mind that tools will still show up under browse at this time:

  3. Only Available tools will be shown to field Users.

  4. Field Users cannot see tools that are In Use or have any other status.

Direct Pulling

Field users will be able to check out a tool directly from an inventory location if the direct pulls setting is turned on. If you would like the field to be able to pull directly from a location without submitting a requisition, or check out a tool directly from an inventory location, ensure this setting is on. You will want to make sure “Field can pull inventory from this location without the help of a warehouse user” is checked in the location settings for that particular location:

Warehouse Mobile

Warehouse users can browse the tool list on the mobile app under the Inventory tab.

  • Users can add new tools from the mobile app.

  • Users can see the details of each tool by tapping on the tool in the list. They will be able to see the following details:

    • Details of the tool

    • Users can add and remove images

    • See the tool history

  • Users are able to check in and check out tools from the mobile app.

Bulk Uploads for Tools

  1. Unlike material, it adds new tools without a tool ID that have the same description and inventory location rather than overwriting them.

  2. Only one tool can exist across all locations with the same tool ID so if a tool is uploaded that matches the ID regardless of description then its values will be overwritten
