Kojo’s Prefab module manages your catalog, shares it with field users, and tracks production, keeping everyone updated on your fabrications.

This is an overview of Kojo’s Prefab module within our Warehouse Product. You can use it to manage your prefab catalog and share it with field users. Track production and keep everyone on the same page with the status of your fabrication shop.

Adding a Prefab Inventory Location

Before using the Prefab module you must add an inventory location for prefab.

  1. Navigate to Settings>Admin>Locations

  2. Click “Add New Location”

  3. In the modal make sure to check the box for “Prefab location?”

Prefab Catalog on Web

Browse to Prefab > Prefab Catalog as a warehouse or office user.

On this screen, you can bulk upload new items, add new items one at a time, export items, and use our filters to narrow down your items.

Field Visibility

If you want an item hidden to field users you can toggle the visibility on this page as well as the item’s detail page. You might hide an item from the field while you are working on updating it.

Field Mobile

Field users can find the Prefab Catalog by going to Browse > Warehouse Prefab. Currently field users cannot see prefab items on web.

You can then filter by Prefab. Once selecting an item, you will be able to see the specifications you setup and any images you added. Field users can add this to their cart which will create a new requisition.

Viewing Request and Item Status on Field Mobile

Browse to the Status tab to view the status of your prefab items.

Deleting

You can delete items from here as well. If you delete an item any Prefab Requests that have started production will stay but any that still have a status of “Requested” will be marked as cancelled. This cannot be undone.

Job Stock vs General Stock

You can add prefab items as job stock or general stock. Job stock prefab items will only show to those jobs whereas general stock items show to all jobs.

Quantities

Since prefab items are not in stock and must be assembled, we do not track quantities. However, the field is able to request a quantity.

Tags

We support tags for prefab items as well.

Prefab Item Detail

You can add images, a material cost, labor cost, and specifications here as well as see the job allocation and see recent history.

Cost

Material cost plus labor cost equals the total unit cost.

Specifications

You can add or edit custom selections for field users. We support dropdowns and text input boxes.

  1. You can mark items as optional or required for input.

  2. Specs can be deleted which can’t be undone.

Prefab Request (PFREQ) Page

When a field user requests a prefab item, it will create a PFREQ that is sent directly to the prefab team and is visible on the Requests page.

As warehouse or office user you can get there on web by going to Prefab>Requests. The Request page gives a quick read only view of your requests, their details, and their status.

Prefab Production Queue

This screen not only gives you the current status of prefab items and request but allows you to manage them in their production lifecycle.

As a warehouse or office user browse to Prefab>Production Queue. This queue will list items from PFREQs. Since fabrication teams divide up the quantity for a single prefab item amongst various team members you’ll see items listed this way. For example, if the field requests 10 of a prefab item you’ll see that prefab item listed 10 times.

Adding an Assignee

If you scroll to the right you’ll see where you can add an assignee. If no assignee is given the prefab item will be shown to all warehouse users that view the mobile Prefab Production Queue. If you assign an item to a user then only that user will see it in their production queue.

Managing the Lifecycle of Production on Web

Prefab items have the following statuses:

  1. Requested

  2. In progress: From the Production Queue tap “Start Production” to indicate work on an item has been started. This will move it to “in progress”. Items will move over to the “In Progress” tab.

  3. Ready to Pick (Completed): Once fabrication is complete, you can mark items as “Ready to Pick”. An item will not be available for picking until it has been given a status of “Ready to Pick”.

  4. Picked

  5. Shipped

Requested and In Progress items are only visible in the prefab queue not on the picking screen. Once an item has a status of Ready to Pick it will show up in the picking workflow for all users regardless of assignee.

Production Queue on Warehouse Mobile

On Warehouse mobile, login to the prefab inventory location you setup earlier by tapping the three yellow lines in the top left then selecting your prefab location name. You’ll now see the Prefab Production Queue for your user. This queue will list items from PFREQs. You will only see items assigned to your user or that have no assignee. Since fabrication teams divide up the quantity for a single prefab item amongst various team members you’ll see items listed this way. For example, if the field requests 10 of a prefab item you’ll see that prefab item listed 10 times.

Managing the Lifecycle of Production on Mobile

Prefab items have the following statuses:

  1. Requested

Requested and In Progress items are only visible in the prefab queue not on the picking screen. Once an item has a status of Ready to Pick it will show up in the picking workflow for all users regardless of assignee. Like material inventory, prefab items can also be marked as picked and shipped within those separate workflows.

View Field Selected Specifications

Once you tap on an item in the queue, you can see the specifications selected by the field by tapping “Specifications” in the top right.

Not Supported

Creating an automated list of material from a selection. This will be coming soon!
