🏪 Step 2: Terminal Ordering & Assignment

Placing an Order in Adyen:

💡 IMPORTANT: Verify Your Merchant Account Before Ordering

If your organization manages multiple brands with Valpay (for example: Partner_Payments and Partner_UK), please ensure you have selected the correct Merchant Account in the upper left-hand corner of the Adyen Customer Area before submitting a terminal order.

  1. Navigate to Orders and Returns

    • In Adyen, go to In-person payments in the left navigation bar and select Orders and returns.

  2. Create a New Order

    • Click New Order in the top-right corner.

    • Choose the country where the terminals will be used.

      • ⚠️ Important: Select the correct country where the terminals will be used. This setting cannot be changed after ordering and an incorrect country may cause card acceptance issues.

    • Select the product model or, if ordering accessories, the model the accessories are for.

    • If prompted, choose Ethernet Integration as the connection.

  3. Set Quantities

    • Adjust the quantity of terminals or accessories you need. Set terminal quantity to 0 if only ordering accessories.

  4. Review Accessories

    • Scroll down to review or update the included accessories.

  5. Add to Cart

    • Click Add to cart. Your cart will appear on the right.

    • Add more products if needed, or proceed to checkout.

  6. Checkout and Shipping Details

    **You can now select "Assign terminal to store" from this page. If you choose this you no longer have to wait for shipping to assign the devices to stores**

    • On the checkout page, choose Add new address or Choose existing address:

      • Add new address:

        • Add a unique label (e.g., store name).

        • Fill in recipient details, including name, email, phone, and address.

        • Provide a company name for the shipping label.

        • Click Save address.

      • Choose existing address:

        • Search for the address label and select it.

  7. Finalize Order

    • Enter the merchant DBA under "Your Purchase Order Number."

    • Select Valpay LLC for billing if outside the UK or your company name if in the UK.

    • Click Continue to order summary, review your order, and click Place order.

  8. Confirmation and Shipping

    • A confirmation page with your order number will appear.

    • You’ll receive an email from Adyen confirming the order and another with tracking info once shipped.

      ** Please allow 3-5 business days for delivery.

Assigning Terminals:

Before You Begin

To assign terminals to a store in Adyen, ensure the order status is Shipped or Delivered. If it’s not, the terminals aren’t ready to be assigned.

⚠️ Important: The terminal must be assigned to the correct store in Adyen before it is powered on and connected to the internet. If not assigned first, the terminal may display multiple Adyen stores, including stores not associated with your account.

Find the Store ID

You’ll need the Store ID before assigning terminals. Here's how:

  1. From Adyen:

    • Go to In-person payments > Stores in the left navigation bar.

    • Search for and select the store.

    • The Store ID appears at the top of the page.

  2. If there are multiple stores in Adyen:

    • Visit portal.valpay.com.

    • Click the Merchants tab.

    • Select Accounts sub tab.

    • Search for and select the merchant.

    • Click the Stores tab.

    • All associated stores will be listed along with their corresponding Store IDs.

Now you're ready to assign the terminals:

  1. Go to Orders & Returns and select the order you want to assign terminals for. A menu will appear on the right.

  2. Under Shipped items, locate the terminals and click Go to terminals.

  3. Assign each terminal individually:

    • Select the first terminal.

    • On the settings page, click More options > Reassign.

    • Choose To store, then click Next.

    • Enter the Store ID, select it from the dropdown, and confirm.

    • The terminal is now reassigned! You’ll see:

      • The Merchant store code updated to the store number.

      • The Store description showing the store name.

  4. Return to the order. The assigned store’s details will now appear under Store and Store Address.

  5. Repeat these steps for all terminals in the order.

You're all set! Your order is on its way to the merchant. You are now ready to proceed to the next step!
