About Vantage

Vantage is a project management software built for the wide-format print and signage industry.

It helps print and sign shops and installation teams run their operations with clarity and control, from tracking sales opportunities to project coordination and final installation.

Vantage connects your office team, field crews, subcontractors, and clients in one system so everyone has the information they need, when they need it.

Vantage is built for execution: scheduling work, assigning teams, tracking field progress, managing documents, and coordinating subcontractors. It works alongside your existing ERP, estimating tools, and accounting systems rather than replacing them.

How your team uses Vantage

Vantage is made up of three parts, each built for a different group of people in your shop:

Office staff, project managers, salespeople

Where you schedule, track, and coordinate all work.

Mobile app

Field installers and crews

View assigned events, upload photos, log time, complete reports, and add comments from the field.

Client Portal

Your end customers

A branded view where clients can check project status and access shared documents.

Who gets access to what

Different people in your shop interact with Vantage in different ways:

Full users

Full users can be assigned different permission levels: Admin, Standard, Restricted. These control what they can see and do.

Vendors are not users inside your workspace. They are independent companies with their own Vantage workspace linked to yours. Their users do not count against your seat limit.

How work flows through Vantage

A typical workflow in Vantage follows this path from a new deal to completed field work:

  • A potential deal is tracked as an Opportunity in the sales pipeline.

  • When the deal is won, the opportunity is converted into a Project.

  • Events are scheduled within the project: installations, surveys, deliveries, or any other type of field work.

  • Events are assigned to internal teams or Vendors.

  • Field crews complete the work and submit a Completion report with photos and a signature from the mobile app.

  • Managers review and approve from the dashboard.

  • If vendors were involved, they submit invoices for review.

The workflow can vary for shops. Some features, like Opportunities, Vendor management, and Time tracking, may need to be enabled for your workspace, and availability depends on your Vantage plan.

Can my field teams use Vantage?

Yes, field crews use the Vantage mobile app as Lite users (installers). They can view assigned events, upload photos, log time, complete reports, and add comments from their phone.

What are events in Vantage?

Events are individual units of work: installations, surveys, removals, deliveries, or any custom type your business defines.

Can clients see how I manage my work?

Clients can only access information through the Client Portal. They cannot log into your Vantage workspace or see how you schedule, assign, or manage work internally. The Client Portal shows only what you choose to share: project status and selected documents.

What is the difference between Full users and Lite users?

Full users access both the web dashboard and the mobile app. They manage work, schedule events, track projects, and coordinate teams. Lite users (installers) access the mobile app only. They see their assigned events, upload photos, log time, and submit completion reports from the field.

Do vendors count against my seat limit?

Vendors do not count against your seat limit. Vendors are independent companies with their own Vantage workspace linked to yours.

Does Vantage replace my ERP or accounting software?

Vantage does not replace your ERP, estimating tools, or accounting systems. Vantage is designed to work alongside your existing systems, handling scheduling, field coordination, and project tracking while your other tools handle estimating, billing, and financial reporting.
