How to remove a user's access to Vantage without deleting their account or records.

Deactivating a user removes their access to Vantage without deleting their account or any records they are associated with. Use this when someone leaves the company or no longer needs access.

Deactivating a user

  1. Go to Users in the left sidebar.

  2. Find the user and open their profile.

  3. Click the three-dot menu in the top right of their profile panel.

  4. Select Deactivate user.

The user loses access immediately. They move to the Deactivated tab on the Users page. Their past events, assignments, and records remain intact.

Deactivating a user also frees up their seat on your plan.

Before deactivating a user, reassign any upcoming events they are assigned to. Deactivating does not automatically remove them from future events.

Can I reactivate a deactivated user?

Yes. Go to the Users page, open the Deactivated tab, find the user, and reactivate them from their profile. They regain access and count as a seat again.

What happens to the events a deactivated user was assigned to?

Past events and records remain unchanged. The user stays listed on any events they were assigned to, but they can no longer access Vantage. Reassign upcoming events to another team member before deactivating.

Does deactivating a user delete their data?

No. Deactivation only removes access — all work time logs, comments, and event history associated with the user are preserved.
