How inventory works in Vantage

What inventory tracking covers in Vantage and how it fits into your event workflow.

Inventory tracking in Vantage lets you assign items to a specific event and have your field team check them in on site. It is useful for tracking what materials, products, or equipment should be at a job and confirming they arrived.

Where inventory lives

Each event has its own Inventory tab where you add items, and your field team checks them in from the mobile app.

How it works

  1. You add inventory items to an event from the dashboard before the job.

  2. Your field team opens the event on mobile and checks in each item on site, with a photo if needed.

  3. If something is missing or the wrong quantity arrived, they log a shortage from the Issues tab.

Inventory and shortages

Shortages are logged separately from inventory check-ins. If an item listed in inventory did not arrive or the wrong amount came, your team logs it as a shortage from the event's Issues tab, not from the Inventory tab.

This keeps inventory check-ins (confirming what did arrive) separate from shortage reports (flagging what did not).

FAQ

Can I see inventory across all events in one place?

Inventory is managed per event. To see what is assigned to a job, open the event and go to the Inventory tab.

Can vendors see inventory on an event?

No. The Inventory tab is not visible to assigned vendors; it is only available to your internal team.
