An overview of how to add new client accounts onto Vic.ai

Onboarding new accounts onto Vic.ai is an easy process and this article aims to give some guidance on the few necessary steps. Additionally, we hope to address some commonly asked questions.

Vic.ai can connect your client account through API connection to one of the following:

  • Bill.com

  • Sage Intacct

  • QuickBooks Online

Once you have selected the client account you wish to onboard, the steps to start the process are simple:

  1. Fill-out and submit this onboarding form

  2. Allow connection to Vic.ai by completing the necessary set-up steps.

How to complete Step 2, allowing connection between my system and Vic.ai

  • For Bill.com connection you can follow these instructions.

  • For Sage Intacct connection, first you'll need to receive an email address from a Vic.ai staff member for the account. Then you will be able to set-up in Intacct a Vic AI user by following this implementation guide

  • For QBO connection, contact Vic.ai support requesting an authorization link in order to follow the steps outlined in this article

What if I want to sync Vic to a different system, like QuickBooks Desktop?

How long will it take to onboard a new account?

This depends on if the client has historical data that can be used to complete AI Historical Data Model training.

  1. If the client is a brand new account in the connected system, we can get the Vic.ai account set-up and ready for you to start processing within 1-2 working days.

  2. If there is historical data that can be used to preemptively train the AI, we would recommend running the account through data model training. This will train the AI on your existing data, so that when you start processing invoices data predictions can be more accurate. Getting data models trained for your account typically takes about 10 working days, allowing some time for testing and review.

Vic.ai runs on bi-monthly data model submission deadlines, to complete historical data model training in batches.

The onboarding submission deadlines are:

  • On the 15th of the month (or the next working day)

  • On the last day of the month (or the next working day)

If your onboarding request comes in after those days and the deadline is missed, your account will need to wait for the next "round".
