Keeping your calendar accurate and communicating promptly helps prevent traveler frustration, double bookings, and cancellations.
If You Receive an Inquiry
If a traveler sends an inquiry for dates that are no longer available:
Respond promptly and let the traveler know the property is unavailable.
Update your calendar immediately to block the unavailable dates.
If you have another suitable property available, you may let the traveler know about the alternative through Vidle Housing messaging.
Even if you can't accommodate the traveler, always respond rather than leaving the inquiry unanswered.
If You Receive a Reservation Request
If your property is no longer available when you receive a reservation request, decline the request as soon as possible.
When declining due to availability, you may be prompted to review and update your calendar. Make sure all unavailable dates are blocked to prevent additional travelers from requesting the same dates.
If an Instant Booking Is Automatically Confirmed
If Instant Booking is enabled, eligible reservation requests are automatically approved based on the availability shown on your calendar.
Because there is no additional host approval period, keeping your calendar accurate is especially important.
If an Instant Booking reservation is confirmed for dates that are no longer available, contact Vidle Housing Support immediately. Do not ask the traveler to cancel the reservation on your behalf.
If the Reservation Is Already Confirmed
Once a reservation is confirmed, hosts should make every reasonable effort to honor the booking.
If an emergency or unexpected situation makes the property unavailable:
Contact Vidle Housing Support immediately.
Explain why the property is no longer available.
Provide documentation when requested.
Keep all communication with the traveler on the Vidle Housing platform.
Do not promise refunds, alternative accommodations, or other compensation without confirmation from Support.
Last-minute host cancellations can significantly disrupt healthcare travelers who may be relocating for an assignment and have limited time to find alternative housing.
Update Your Calendar Immediately
As soon as you know your property is unavailable, update your calendar.
Depending on how your listing is managed, you may update availability through:
Calendar for quick date changes.
Listings → My Listings → Calendar for longer date ranges.
The full Listing Editor.
Airbnb Connect.
Your connected PMS.
Your iCal calendar source.
If your listing is synced with an external platform, make sure availability is updated at the correct source to prevent dates from reopening or being overwritten.
What If My Calendar Didn't Update Correctly?
If you already updated your availability but the dates remain open:
Confirm whether your listing is connected to Airbnb, a PMS, or iCal.
Check whether the dates are correctly blocked on the source platform.
Allow time for the applicable integration to sync.
Review your Sync Settings when applicable.
If the dates still appear incorrectly, contact Vidle Housing Support with:
Your account email.
Listing name.
Dates affected.
Connected PMS or platform, if applicable.
Screenshots showing the incorrect availability.
Tips to Prevent Availability Conflicts
To reduce the risk of unavailable dates being requested:
Keep your calendar current.
Regularly review upcoming availability.
Use a PMS or calendar integration if listing on multiple platforms.
Check synced calendars after making changes.
Block dates as soon as you know the property will be unavailable.
Review availability before enabling Instant Booking.
If your property is no longer available for a confirmed reservation or you believe there's a calendar or integration issue, contact Vidle Housing Support as soon as possible.
