Advanced Filtering on Reports

Go beyond basic sorting with smarter, more precise filters.

Overview

You can filter your reports by timeframe, assigned staff member, and current status (see the article on statuses and comments here for more details). For a deeper view, use the advanced filtering option, to get a clearer overview of the responses your volunteers have submitted. These tools allow you to quickly filter by specific answers, making it easy to identify concerns, highlight negative experiences, or surface positive feedback.

Advanced filters also help you catch errors early. For example, you can quickly spot unusual entries, such as a volunteer logging just one minute or over 1,000 hours in a single day. With these quick filters, you can ensure all information is accurate and ready to power your custom insights dashboard with confidence. How to create an advanced filter

Navigate to the Report section on your mission dashboard to view all reports, or go to the Report section within a specific mission to see reports for that mission only.

and then click on Filters, followed by Question Filters.

When creating a filter, you must select the specific question you want to filter by. These questions can either come from your Question Bank (which includes questions used across all templates) or from a specific template that contains the question you’re looking for.

This is another reason why it’s important to add recurring questions to your Question Bank and include them in templates for reuse. Doing this allows you to filter and analyse the same data point consistently across multiple templates/reports.

Select the specific question you want to filter by. You can select up to five questions at the same time, and each question may have different filter options. For example, for the question below, you might filter for responses where there were fewer than 30 volunteers. This could indicate that the volunteer wasn’t needed, or it could show zero, meaning the volunteer forgot to log their hours.

After adding your filters, please make sure to select Apply Filters and all reports that match this filter will show up for you.

Removing the filter

To remove a filter, go back to the Question Filter section and clear the selected questions and filters. Then click Apply Filters again, this time, no filters will be applied.
