Data links to insights * super important*

Overview

We know that you'll likely want to capture different feedback depending on the types of missions you are listing to your volunteers. Our custom reports feature enables you to do just that! So read on, to discover how you can customise and control the feedback that you're getting from your volunteer reports.

Create a report template

Firstly, you'll need to create a report template. Open the "Missions" page on the left-hand side of the Staff Dashboard. Then open the tab labelled "Report Templates". Press the "New template" button.

Template Name

Ensure that you're naming your report template to reflect the type of report you're capturing. Eg 'Befriending report', 'Workshop delivery' , 'Fundraising' etc.

Add Questions

There's a whole range of question types available

Choose questions shared in your organisation from the question bank or create a new question type by clicking the 'create' button.

Default questions

Choose from some of our default options including questions relating to time spent volunteering, action required, client feelings and many more. Edit these questions by clicking the 3 dots at the end of the question and editing the wording.

Data Links *super important*

Ensure that the 'data link' to volunteer time or call time is connected when asking questions relating to: volunteer time, call time, client happiness and mission completed. this will make sure that the Insights tab is populated with the data from these question types correctly, and ultimately save you a headache in the long run!

Customise questions

Customise your own using the 'create field' option. All of the question types will appear on the right-hand side.

Some question types including the 'Toggle Switch' and 'Dropdown' can send email alerts for reports based on volunteer answers.

Please note that email alert notifications are based on staff user roles and group access, these can be adjusted in the Email Notifications area at any time.

File upload - As you will see, their is a field which is called "File Upload". This does what it says on the tin. If you do require numerous documents to be uploaded, we recommend you add numerous document upload fields and specify what you are looking for with each. This is a great question type for encouraging volunteers to share pictures of them volunteering.

Reorder questions by clicking and holding the grid icon on the field you wish to move (as seen below) and then move to the desired position.

Required Answers

Decide which questions you require an answer from your volunteers and which ones are options by pressing the 3 dots on the right-hand side of the question.

Link a report to a mission template

Once you're happy with your custom report template, you'll need to link it to a mission template. Click into the mission template which is relevant to your report.

Go into the options, select your report type and apply changes.

Now your mission template will pull through the set custom report into your volunteer's mission.

View and export reports

View reports as usual in the reports section, click 'view full report' to see the report in its entirety. Certain information in the reports that are linked to data fields within Volunteero; such as volunteering time, missions completed, actionable reports and more will be captured in the 'Insights' page of your Volunteero dashboard. Additional customised questions without a data link on Volunteero can be exported from the reports tab for data analysis outside of the Volunteero system.

Export reports

Use the 'export to excel' function to download all of your custom reports off volunteero.
