In this article we will cover creating, navigating and updating client profiles within Volunteero.

Create a client

A client on volunteero is the data point for what a mission is for.

To create a mission you are required to link a Mission Template (Type of volunteer activity) with a Client Profile. Client profiles can be re-used and you can capture valuable insights and data relating to missions and reports from client data points.

Some client type examples:

  • Person

  • Event

  • Your organisation

  • Project

  • Location

To get started with adding clients to your Volunteero account, open the "Client" page on the left-hand side of the Staff Dashboard. Press "Add client"

Person or organisation?

You will be prompted to select whether the client profile should be a "person" or an "organisation.

If your volunteers interact directly with a person then you will need those people set up as clients. However, sometimes you may put on events or have missions that are aimed at assisting an organisation such as a school perhaps. In this case, you will set up an organisation.

We always recommend having your own charity set up as a client. If you were to put on an event mission for all volunteers or training sessions as missions, you would need to choose a client and here it would make sense to select your charity.

Client information

Enter any relevant details for that client including

  • Name

  • Phone number

  • Email

  • Address

  • EDI fields

  • Notes (Please be aware the notes are internal and can only be viewed by staff users)

  • Custom ID (This can be relevant where another system is used and you want ID's to match within Volunteero)

Navigating the client profile

Open up your 'clients' tab and search for the profile you're after. Click into the client profile to view or update the following information:

The Profile tab shows the clients basic information, contact details and demographic information.

Submissions

Any submissions that are linked to that client profile. This may be referrals, notes, requests for support or in the case of an organisation-focused client requests for an event, health and safety information or other documentation. You can click on these to open them and access any documents included. Note that sometimes a referral will not exist, this likely means they were a client referred through an alternative process to the online Volunteero form.

The Missions tab allows you to see all missions associated with that client. You can use the filtering options at the top to show what missions they have been associated with in the past (archived missions) and filter by the mission type also.

The Activity tab allows you to see a granular audit log of every action that Is associated with that client.

Search and filter clients

To find a client profile, open the "Clients" page on the left-hand side of the Staff Dashboard.

You can use the search functionality to look-up a client profile from your database. In addition you can filter by client tags.

Adjust the column view using the 3 dots on the right-hand side. This can be useful for making attributes such as addresses, tags, birthdays and ongoing mission information visible on mass. Don't forget you can also export to CSV by using those 3 dots and column adjustment.

Deactivate or delete a Client Profile

There may be occasions where you need to deactivate a client profile from missions on Volunteero. You can also delete a client, but we strongly advise deactivation over deletion where possible.

If you delete a client profile you will lose their data and this cannot be recovered.

In order to deactivate a client for missions, go to the "Settings" tab in their profile and press "Deactivate client"

If you still wish to delete a client, go to the "Settings" tab in their profile and press "Delete client & related data"
