We aim to connect you with volunteers from all over the world, helping you find the right match for your program. However, selecting suitable applications is essential, and unfortunately, some applications may not be a good fit.
There are various reasons why an application might need to be rejected: the volunteer may not meet the criteria or required skills, their preferred dates may not be available, or you may simply prefer another candidate. In some cases, unforeseen circumstances—such as internal organizational issues or force majeure—may even require canceling already approved applications.
Additionally, keeping things on track sometimes means rejecting inactive or outdated applications.
To help you manage this process smoothly, here’s how to proceed with rejecting applications.
1. Log in to your Volunteer World account and click on the tab "Applications".
2. Select the application you want to cancel and click on "Details".
You can also use the filter function to easily find applications. All unreviewed or unbooked applications are listed under the 'Inquiries' category. The 'Upcoming' section includes applications from volunteers with confirmed bookings, while 'Ongoing' refers to those currently on-site. If an application has been withdrawn or canceled, it will appear under 'Cancelled', and past applications from volunteers who have already completed their stay are stored in the 'Archive' section. These categories help you efficiently manage and track applications at every stage.
3. To cancel the application, simply click on "Reject Application" at the bottom of the page.
4. State the reasons why you have to cancel the volunteer and click on "Confirm".
The more detailed you are in explaining your reasons, the easier it will be for the volunteer to understand and accept the cancellation.
