Loading and Unloading your Voly Prepaid card can be done both on the Desktop and the Mobile App. You will need to have permission to use the Voly Money Summary on your account to be able to do this.
If you do not see the Voly Money Summary on your Desktop Homepage, please speak to a member of the Voly Team.
To load a Voly Prepaid Card
1. Go to your dashboard (on the homepage) and click on ‘Voly Money Summary’.
2. Click on the relevant float.
3. On the card you wish to load, click ‘Load card’. Enter the amount you want to load and click save.
The card is instantly loaded.
Please Note: you might need to refresh the page to see the updated card balance.
To unload a Voly Prepaid Card
1. Go to your dashboard (on the homepage) and click on ‘Voly Money Summary’.
2. Click on the relevant float.
3. On the card you wish to unload, click ‘Unload card’. Enter the amount you wish to send back to the Voly Money account and click save.
The card is instantly unloaded.
Crew/User Funding Request: Request your card to be loaded - Desktop
The funding request is a functionality that allows the crew/users to request their Voly prepaid card to be loaded within the platform. The Admins will approve the request. Once approved, your card will automatically be loaded.
1. Go to Banking. Then, click on your Voly prepaid card.
2. Click on ‘Funding Request’, in the top right-hand corner.
3. Enter the following details:
• The amount you are requesting
• The date required and time zone you are in, or tick “As soon as possible”
• The reason for the request.
• Any other optional information, if required
4. Click ‘Add Funding Request’
5. Once submitted, your request will go to your Approvals tab (in the top navigation bar) in ‘Your Voly prepaid card funding requests’ until approved.
Once the request has been approved:
• If requested with a specific date, the card will be automatically loaded on the date, at midnight in the time zone you have selected.
• If requested with “as soon as possible”, the card will be automatically loaded within the hour after the request has been approved.
Funding Request: Approve card load requests (Administrator)
The funding request is a functionality that allows the crew/users to request their Voly prepaid card to be loaded with funds within the platform.
You can process the request on the desktop or from the mobile app. If accepted, the card is automatically loaded.
1. To receive an email notification each time a crew/user requests their card to be loaded, go to Settings > My Account, and tick ‘Email Alerts: Voly Prepaid Card Funding Request’.
2. You will now receive an email as soon as a Funding Request has been submitted by a crew/user. You can review and approve/reject the request either on the desktop version or from your mobile app.
Approve a Funding Request - Desktop
• Go to your Approvals tab, in the top navigation bar.
• Scroll down to the section ‘Voly prepaid card fund requests, scheduled and awaiting approval’.
• Click on the request, review and click on Approve or Reject.
3. Once the request has been approved:
•If requested with a specific date, the card will be automatically loaded at midnight on the time zone you have selected, if there are sufficient funds.
•If requested with “as soon as possible”, the card will be automatically loaded within the hour after the request has been approved if there are sufficient funds.
Auto-unload cards (Admin)
For additional control of funds on the cards, you have the ability to automatically unload them every night.
1. Go to the Banking page and scroll down to the Voly Prepaid Cards. There, click on the 2 cogs alongside the card you wish to auto-unload.
2. Click on the tab called ‘Voly Prepaid Card Auto Unload’ and click ‘Enable’. The funds on the card will be automatically unloaded at midnight in the time zone configured in Settings.
Please Note: If you wish to set up an auto load, please contact your Client Relationship Manager.
Set a load limit on cards
This prevents the card balance from exceeding the limit.
1. Go to the Banking page and scroll down to the Voly Prepaid Cards. There, click on the 2 cogs alongside the card you wish to set a load limit on.
2. Click on the tab called ‘Account Settings’. Then, enter the account limit in the dedicated box. This is the maximum balance the prepaid card can be loaded to.
Please Note: If a funding request has been approved, the card will be loaded up to the limit that has been set up.
Reassign Cards (Admin)
For additional control of the cards, you have the ability to reassign them to another user on the platform.
1. Go to the Banking page and scroll down to the Voly Prepaid Cards. There, click on the 2 cogs alongside the card you wish to reassign
2. Click on the tab called ‘Voly Prepaid Card Assigned To’ and click on the drop-down menu. The other users on the platform will be visible from the drop-down menu to select from. Select the users you wish to assign the card to and select 'Change'
3. This card will now be visible to this user in the Voly system. Any transactions can be processed by the user as well as authorised online payments.
Please Note: If the user cannot see the card on their Voly Mobile App after it has been assigned to them they will need to select it from the card view options under their My Account settings.
