Anti-duplication control within a team

Control and manage duplication in your team.

Anti-duplication control within a team helps prevent the same prospect from being imported by multiple team members. However, it is possible to allow certain members to import the same prospects.

This feature is included in the paid plans (Team) of Waalaxy: Pro, Advanced or Business, and is designed to streamline team collaboration by preventing duplicate communications. By ensuring that prospects already present in one team member's account cannot be imported into another's, it helps maintain a professional and efficient workflow.


Permissions

Do not allow a member to import duplicates

To avoid duplicate imports in a team, the captain must:

  1. Go to the "Team" tab.

  2. Click the dropdown menu in the "Role" column, to the right of the concerned member.

  3. Select "✨ Custom" and disable "Import with team duplicates".

Allow a member to import duplicates

For team members to import the same prospects:

If you encounter issues importing prospects despite disabling the team duplicate security feature, follow these steps to troubleshoot:

  1. Verify that the team duplicate security feature is disabled.

  2. Check whether your account has the "Import with team duplicates" permission.

  3. Contact your team captain or administrator to request the necessary permissions if they are not already granted.

  4. Retry the import process after confirming that permissions are in place.


Activate anti-duplication security before importing

From LinkedIn, Sales Navigator, or Recruiter Lite

To activate Team duplicate security:

  1. From the import window, click the "⚙️" settings icon.

  2. Enable the Team duplicate security.

When this option is enabled, you will not be able to import a prospect already present in another member's list.

During a CSV import

To activate Team duplicate security:

  1. Go to your prospect list.

  2. Click on Import > Import via CSV file.

  3. Enable the Team duplicate security.


Managing Team duplicates

By default, duplicates automatically appear in the "Team" tab, in the "Duplicates" section.

1️⃣ Recommended: Choose a default member as "recommended" where duplicates will be imported.

2️⃣ Keep everything as recommended: The first member to import the prospect or use the prospect in a campaign will keep the prospect.

3️⃣ Update: Manually choose who will keep the duplicates, in batches of 20 prospects.
