Custom Properties - Add personalized data to your prospects

Learn how to create custom properties to enrich your prospect data with personalized information and use them as variables in your messages.

What are custom properties?

Custom properties let you add personalized data fields to your prospects, on top of the standard LinkedIn attributes Waalaxy imports automatically. Use them to store any text-based information relevant to your outreach.

Typical properties: city, event date, personalized icebreaker, LinkedIn post name, message angle (msg 1, msg 2...).

When to use them:

  • You're importing a CSV with more data than the standard LinkedIn fields

  • You're working with Claude or another AI tool to generate personalized content

  • You're importing custom data via API or an automation tool (Make, Zapier, n8n)

A custom property applies to all your prospects the moment you create it. You fill in the value per prospect individually.


Create a custom property

There are three ways to create a custom property:

From the prospect side panel

  1. Open a prospect's side panel.

  2. Scroll to the bottom and click Add a property.

  3. Enter a name for the property and click Confirm.

  4. The new field appears immediately in the side panel. Click it to fill in the value for this prospect.

From Settings

  1. Go to Settings > Custom Properties.

  2. Click + Add a property (top right).

  3. Enter a name and confirm.

During a CSV import

At the Match data step, add one or more columns from your file as new custom properties. Each unmapped column can become a new property in one go. See the Import custom properties via CSV section below for details.

Property names must be unique. If you enter a name that already exists, the modal stays open and shows an error. Rename it and try again.


Fill in values per prospect

Once a property exists on your account, fill in the value per prospect from the side panel.

  1. Open a prospect's side panel.

  2. Find the custom property field and click on it to edit.

  3. Type the value. Up to 1,000 characters, text only.

  4. Click outside the field to save automatically.


Use custom properties in messages

Custom properties are available as variables when writing messages (invitations, messages, emails).

  1. Open the message editor in a campaign.

  2. Click Insert a variable.

  3. Select your custom property from the list.

Not every prospect will have a value for every custom property, so Waalaxy adds the variable with a mandatory fallback. Set the fallback before you validate the message.

💡 The character counter uses the longest value stored in your CRM for that property (or the fallback, if it's longer). This keeps your message within LinkedIn's character limit after the variable is filled in.

What happens if you delete a property used in a message template?

Waalaxy blocks the deletion if the property is still used in an active campaign (Running, Paused, or Draft). But message templates that reference the property are not automatically cleaned up. If you delete the property and the template is still active, messages will send using the fallback value.


Import custom properties via CSV

When importing a CSV file, map columns from your file to custom properties at the Match data step.

  1. Start a CSV import and reach the Match data step.

  2. Your existing custom properties are already listed. Map them to the relevant columns.

  3. To create new properties, select one or more unmapped columns and click Add a property. Each column becomes a new custom property.

Prospects with a value over 1,000 characters are skipped. The import continues, but any prospect whose custom property value exceeds the limit is not imported. A warning appears on the relevant field with a tooltip showing how many prospects are affected.


Manage custom properties in Settings

To view, add, or delete your custom properties, go to Settings > Custom Properties.

  • Add: Click + Add a property and name it.

  • Delete: Click the delete icon next to a property. A confirmation modal appears.

You cannot delete a property used in an active campaign (Running, Paused, or Draft). Archive or edit the campaign first.


Transfer prospects between accounts

When transferring a prospect to another Waalaxy account, custom properties transfer with them:

  • If the destination account has the same properties, the values transfer automatically.

  • If the destination account is missing some properties, a warning appears in the transfer modal. A toggle lets you add those missing properties to the destination account before transferring.

Properties also transfer between team members during a prospect transfer within the same account.


Limits & good to know

  • 1,000 characters max per property value, text only

  • 50 properties max per account

  • Custom properties are not filterable or sortable in the prospect list

  • No bulk update - values can only be filled in one prospect at a time


Where custom properties appear

Once created, a custom property shows up across the product:

  • Prospect side panel: view and edit values per prospect

  • Message editor: insertable as a variable (with fallback)

  • Prospects table: optional columns, hidden by default. Enable them via the column picker.

  • CSV import: available at the mapping step

  • Settings > Custom Properties: manage all properties
