How can you automatically send prospects who respond to your messages to a CRM? We explain it all!

Waalaxy is your favourite prospecting tool, but not yet your favourite CRM? 😱

Would you like to combine the two and exchange some data between your tools?

It's possible on Waalaxy thanks to a feature we've developed:

the Action Reply.

🦞 What is the action reply ?

For any prospect in a current campaign who has a "Message" or "Connection Note" or "Email" stage and responds, will be able to have their data automatically sent to your personal CRM.

You can then process this data as you wish as part of your prospecting strategy. πŸ”₯

πŸ¦‘ How to set it up?

🦐 Prerequisites

You must have an account on the Zapier tool.

🦐 Step 1: Create and launch your campaign on Waalaxy

The first step is to choose/create your campaign on Waalaxy.

You will need to choose a campaign that includes an action that can be responded to:

  • Message,

  • Email,

  • Connection note.

You can search for a sequence simply thanks to our action filter system. πŸ‘‡

For example:

You select the "Invitation + 2 Messages" campaign.

  • Select it and open it from "Create a campaign".

  • Name the campaign.

  • Write your message.

  • Launch the campaign.

🦐 Step 2: Create the Zap and obtain the Webhook URL

Once your campaign has been launched, you can go to Zapier to create your Zap and obtain the Webhook URL.

  • Click on "Create a Zap",

  • Search for the "Webhook by Zapier" app,

  • In the Event, select "Catch Hook",

  • Click "Continue",

  • In "Pick off a Child Key", enter a name or leave it blank,

  • Click "Continue",

  • Copy this URL πŸ‘‡

βŒ› Leave that aside for a minute while you do Step 3.

🦐 Step 3: Add the objective, the action to the response in the Waalaxy campaign

  • Back to Waalaxy. πŸ‘½

  • Go to the "Campaign" tab,

  • Click on your campaign,

  • Click on "Modify" and "Edit campaign",

  • In the "Response action" step, select the tool you are configuring,

  • Paste the webhook URL.

    (Here we'll take the "Webhook" module as an example).

πŸ’‘ (If your CRM is not in the example, always select Webhook)

  • Once the URL has been copied, click on "Test" and "Next",

  • Click on "Save changes", πŸš€

🦐 Step 4: End Zap on Zapier

Go back to Zapier.

You must have stayed on the page with the Webhook URL.

  • Click on "Test trigger", and "Continue".

    By clicking this button, all the data stored by Waalaxy will be sent to your Personal CRM, via Zapier. πŸ‘‡

  • Then click on the little "+" and add your personal CRM.

  • Follow the various steps to finish.

🦞 Conclusion

Your action reply is well in place.

All the people who respond to a message / email / and/or a connection note in your campaign will automatically be transferred to your personal CRM with their data.

Also note that, as soon as a person responds in a campaign to one of these 3 actions, they automatically exit the current campaign at the "Finished" stage! β˜‘οΈ
