Why Do I Have So Many Agent Roles?

If you notice multiple Agent roles (or Manager roles) with numbered names like “Agent - 1”, “Agent - 29”, or “Agent - 30”, this is the result of the automatic migration to the new permissions system.

What Happened During Migration

In the previous system, Agent and Manager permissions could be configured differently at each location. When WaitWell migrated to the new role-based permissions system:

  • Each unique permission configuration was preserved as a separate role

  • Numbered roles were created automatically to match your previous location-specific settings

  • Staff assignments were maintained so everyone kept their existing access levels

  • The # following the role name refers to the location ID in WaitWell which can be found in the Locations page via Settings > Location Settings

For example: If Location A had Agents with access to the Appointments page, but Location B’s Agents did not, the system created two separate Agent roles to preserve these different configurations.

What You Can Do

You have several options for managing these migrated roles:

  • Rename the roles: Give them descriptive names that reflect their actual function (e.g., rename “Agent - 1” to “Front Desk Agent” and “Agent - 29” to “Call Center Agent”)

  • Consolidate roles: If multiple roles have similar permissions, you can standardize them by updating all staff to use a single role, then delete or ignore the unused roles

  • Keep them as-is: If the current configuration works for your organization, you can continue using the migrated roles without making changes

Remember: The migration was designed to preserve your existing permissions exactly as they were. No staff member lost or gained access during the transition. The numbered roles simply reflect the permission differences that existed between locations in your previous configuration.
