Eligible to Teach

Classes the staff member will appear at the top of the instructor drop down when assigning an instructor to a class schedule. Not selecting them as being eligible does not remove them as an option entirely, it just puts them at the bottom of the list of options when scheduling.


Instructor Pay Rates

Assign the pay rates that appear at the top of the pay rate drop down when assigning an instructor to a service schedule. Not selecting the pay rate does not remove the pay rate as an option entirely. Pay rates can be added and updated later, these are just the pay rates that display first when scheduling a staff member to a service.


Staff Bio

Clients can view bios when viewing service details on the Walla App and Walla Widgets


Certifications

Add certification details to keep for your records. Add the name of the certification, the certification expiration, and relevant documents.


Schedule Tab

The schedule displays a weekly calendar from Monday to Sunday, presenting your staff member's schedule for appointments, classes, and enrollments. Toggle between these views to see specific events.

The calendar allows you to add appointments by selecting a date and time. The schedule for each day is laid out, indicating available slots and activities. Blue shaded areas highlight when an instructor is available, providing a quick visual reference.


Stats Tab

Staff profile Stats provides a 30-day snapshot of a staff member's class teaching and appointment engagement. With metrics like a classes taught versus scheduled (substitutions) and insights into class capacity utilization, you can assess commitment and adjust scheduling strategies.

Additionally, tracking revenue, appointment counts, and new client engagement offers a holistic view of the staff member's impact, empowering you to make informed decisions for enhanced value in your business operations.


Recent Classes (last 30 days) Classes Taught vs. Classes Scheduled

Understanding the percentage of classes taught versus those scheduled is crucial for assessing staff commitment and consistency.


Total Class Capacity

The fill rate of your classes is a key metric in evaluating how well a staff member resonates with clients. The higher the fill rate, the greater the match between your instructor and your clients' preferences.


Recent Clients (last 30 days) Unique Clients

This signifies the number of distinct individuals who have taken a class during the specified timeframe. This metric encapsulates the essence of client loyalty, revealing that these individuals have not merely attended once but have chosen to return for additional sessions with that particular staff member.


Total Revenue (Last 30 days)

Total attributed revenue for appointments for the selected period.


Number of Appointments (Last 30 days)

The total count of appointment instances, including both those that have been settled and those that are still unsettled, and haven't been canceled.


New Clients (Last 30 days)

Total clients where it is their first appointment ever at the studio, not just with the particular instructor.


See All Instructor Stats

Under the stats page, select the See All Instructor Stats link to view more detailed stats regarding the staff member.

Time Clock Tab

In the staff profile, the time clock tab serves as a vital tool for efficient and accurate tracking of staff members' work hours. It enables employees to clock in and out with ease, providing a clear record of their attendance. The purpose of this feature is to streamline time management, offering a detailed breakdown of clocked hours, associated locations, and the ability to edit entries.


Pay Stub Tab

The data includes details about your staff member’s earnings, time clock or salary information, hours worked , classes, enrollments, appointments, and commission. Edits can not be made from this page by any staff permission level. To make changes to payroll edits must be made directly under Payroll.


Sensitive Info Tab

The Sensitive Info tab is one of the key operational hubs of managing your staff in Walla. This essential section houses important staff information including Contact Information, Status, Permissions, Role, and Compensation.


Contact Information

This section includes the staff member’s name, address, phone number, and personal email. To edit this information, select the teal edit pencil. There are two email addresses a staff member stores, their work email address and their personal email address. By selecting the edit pencil you can edit the work email address but you can not edit their personal email address. The personal email address is the address used for a staff member’s login.


Permissions

Understand the roles and permissions of each team member. In this example, the employee serves as both a Location Manager and an Instructor.

Owner: The Owner permission level is not set manually like the Business Manager, Location Manager, Manager, Instructor, and Front Desk permission levels.

The owner login/permission is automatically assigned to the email address entered under Company Info, Stripe Information. This is why you do not see an option to assign an Owner permission level and there is only one owner login that can be assigned.

No Access: Use if you need to immediately remove Walla access for a staff member without having to change the status of their staff profile.


Employment Details

Track important employment details, such as the start date, reporting structure, job title, primary work location, and other relevant information.

Start date: If you set a start date for the future and attempt to schedule the staff member for a service the staff member will not be an option because the service is before the start date.

Reports to: The specified individual who is responsible for overseeing and managing their professional duties.

Title: Title displayed on staff tile under Staff Management

Primary location: Staff member’s primary location

SSN: Staff member’s social security number. Displays on payroll export.

Birthdate: Staff member’s birthdate


Roles and Compensation

These are assigned based on the nature of the staff member's compensation. If the staff member records their working hours through clocking in and out or receives a salary, specific roles are designated to delineate their responsibilities within the organization.

The roles assigned to the staff member based on their compensation method (clocking in and out or receiving a salary) are additional or supplementary to any specific services or tasks they may perform.


Instructor Pay Rates

Assign the staff members pay rates that appear when assigning a staff member to a service. Pay rates can be added and updated later, these are just the pay rates that display first when scheduling a staff member to a service.


Appointment Availability Tab

Appointment availability is set up under the staff profile. Availability is visible to both staff and clients if you allow online booking. Availability is set up on a day of week basis and is ongoing.
