Staff Profile Statuses: Active, Inactive, and Terminated

Learn about the different staff profile statuses, how to make a staff profile inactive or terminated, and learn their key differences

Active

This status serves as a key designation for staff members currently employed and actively contributing to your business, allowing them to be scheduled for services and receive compensation.

Inactive

This status is utilized when a staff member takes a temporary break from active duties, such as a leave of absence or personal reasons. While in an inactive state, the staff member cannot be scheduled for services.

The Sensitive Info tab under the client profile is where you can change the status of a staff member’s profile.

To change the status of a staff member’s profile to Inactive follow these steps:

  1. Select the edit pencil next to the staff member’s Status tile

  2. A pop up will appear and on the pop up choose Inactive

Set the Date the Staff Profile Becomes Inactive

You can choose a future start date. However, there is no indication or record that a staff member is scheduled to become inactive, even after saving. If you decide to change their status the same day rather than on a future date, their staff tile will indicate that they have been made inactive immediately.

Enter an inactive reason: Leave of absence, personal reason, relocation, other

Who is notified when a staff member is set to inactive?

An email is sent to the manager of each location below notifying them that the staff member was set to inactive.

Shift Reassignment

You can choose to immediately reassign their schedule to Staff or to leave them on the schedule as is.

  • If you are reassigning their schedule all services will no longer have their name listed as the main staff member.

  • The schedule will say “Staff”. Each scheduled instance will need to be updated to a new staff member manually if this is chosen.

  • If they have scheduled shifts the following text will appear and will also indicate the locations they have scheduled shifts at.

☝️ If you want to revoke a staff member’s access to your Walla site instead of changing their status you can change their permission level to No Access under the Permission section located in the Sensitive Info tab of the staff member’s profile.

Terminated

This status marks the conclusion of a staff member's association with your business. This is a permanent status, indicating that the staff member no longer works for you and will not in the future.

The action of terminating a staff member in Walla can not be undone. You may want to choose the Inactive status even if you are terminating an employee in the chance they return.

To change the status of a staff member’s profile to Terminated follow these steps:

  1. Select the edit pencil next to the staff member’s Status tile

  2. A pop up will appear and on the pop up choose Terminated


Last Day

Choose the date the staff member officially no longer works at your business. You can choose a future start date. However, there is no indication or record that a staff member is scheduled to be terminated, even after saving. If you decide to change their status the same day, their staff tile will indicate that they have been terminated.

Enter in a reason why they left your business: Choose between Yes, it was a personal choice or No, it was a business decision

Do you want to run a current period payroll report for the staff member?

Choose one of the following options to indicate how and when the staff member will receive their last paycheck. This does not generate a payroll or paystub for the staff member. This serves as a way for you to track how they received their last payment and is for informational purposes only

  • Yes, they need to be paid on their last day

  • No, they have already been paid

  • They agreed to receive their wages on the normal payroll cycle

Who is notified when a staff member is set to terminated?

An email is sent to the manager of each location below notifying them that the staff member was set to inactive.
