The Plan Timeline is a detailed log for most changes made to a client's plan. This feature helps with holding everyone accountable for updates made under Plan Management. It stands out as an indispensable tool for ensuring staff transparency, so your staff can respond effectively to client inquiries, such as understanding pause history or when a plan change was scheduled.

About the Plan Timeline

This section serves as a comprehensive overview of every modification made to the plan status and details. It encompasses alterations carried out within the plan settings under Plan Management

For instance, if adjustments are made to the number of guest passes issued via Plan Management, and this modification is applied retroactively and for all future purchases of the plan, the updated setting will be documented on the client's Plan Timeline. This applies to all clients who have previously purchased the plan.

For specific modifications related to passes, such as additions or deductions, you'll find a detailed record in the "Usage" tab of Plan Details on an individual client's profile and not under the Plan Timeline.

View the Plan Timeline

Each plan on a client’s profile has a Plan Timeline. Once you're in the Details View of a plan, you'll see the Plan Timeline located there. It's a record of changes made under, showing all the exciting changes and events in one convenient place.

  1. Navigate to a client profile

  2. Click on a plan tile under the Overview Tab

  3. Select the three dots on the top right of a plan tile

  4. Choose View Details

The Plan Timeline is located under the plan overview details. Individual pass-related adjustments are available under the Usage tab of a plan.

Plan Status Changes

Plan Pending: When a plan is set to start on the first visit or a future date, it appears as "Plan Pending" in the history log, with the reason for the delay specified.

Plan Made Active: When a pending plan transitions to an active status, Walla Admin notes the change, including any modifications to the expiration date and indicates if it was due to an upgrade, downgrade, or neither.

Plan Paused: When a plan is paused, Walla Admin records the pause reason.

Plan Scheduled to be Paused: This status displays the pause dates when a plan is set to be paused in the future. When a plan is paused, the pause will be recorded in the plan’s timeline. When the pause is changed, it will also be recorded on the timeline. When the pause lifts, the timeline will say plan active.

Plan Canceled: When a plan is canceled, the reason for the cancellation is included in the history log.

Plan Scheduled to be Canceled: This status shows the date of the scheduled cancellation.

Plan Changed: When a plan undergoes changes, Walla Admin logs the new plan name and whether it's an upgrade, downgrade, or neither.

Plan Scheduled to be Changed: Similar to plan changes, this status displays the new plan name and upgrade/downgrade details when the change is scheduled.

Plan Expired: This status indicates the date when a plan reaches its expiration.

Plan Expiration Date Was Changed: If the expiration date is modified, Walla Admin records the change.

Plan Completed: When a plan is completed, the date of completion is logged. If there were changes during the plan's lifecycle, the upgrade/downgrade details are also included, and a link is provided to access the new plan details.

Plan Made Inactive: Walla Admin registers when a plan becomes inactive.

Plan Auto-Renewed (Limited Usage Plans Only): For limited usage-based plans, the system logs auto-renewal events.

Migrated: When a plan is migrated into Walla, the date of migration is recorded.

Plan Start Date Was Changed: If the plan start date is modified, Walla Admin records the change.

Plan Management Settings Changes

Changes made in Plan Management settings, such as updating the number of guest passes, price, plan name, VOD inclusion, credit rollover count, early termination fee, expiration date, commitment period, member status, and pass refresh, are documented. The log specifies if the changes take place immediately or on the next billing cycle.

These are changes made under Plan Management. To navigate to Plan Management follow these steps:

  1. From the main navigation menu select Plan Management

  2. Select a Plan

  3. Choose the Edit Pencil on a section to access plan settings

  4. Change one of the settings (see list of below settings)

  5. Save

  6. Select Update in Past and Future Sales and confirm change

  7. Navigate to a client profile who already purchased the updated plan

  8. Select the three dots on the top right of a plan tile

  9. Choose View Details

  10. Scroll to down to the Plan Timeline

After making an update to the plan form Plan Management, you will see a corresponding update on the Plan Timeline:

Guest Passes: “Adjusted guest passes from X to 3 on the upcoming cycle.”

Price Update: "Effective next cycle, the price is changing from X to $50/month.”

Pass Quantity Update: "Changed the number of passes from X to X starting next cycle."

Auto Renewal Price: "Auto-renewal price updated from X to X."

Plan Name Change: "Immediate update: Plan name changed from X to X."

VOD Inclusion/Exclusion: "VOD has been [included/excluded] from the service, effective immediately."

Credit Rollover: "Credit rollover count adjusted from X to X."

Early Termination Fee: "Early termination fee modified from X to X."

Expiration Date Change: "Expiration date updated from X to X."'

Commitment Period Adjustment: "Commitment period now set at X months/weeks."

Member Status Update: "Member status changed from Yes to No."

Pass Refresh Date: "Pass refresh date now set from X to X."

Start Date Configuration: "Effective immediately, services will start on the first visit/when purchased."

Livestream/In-Person Inclusion/Exclusion: "Updated to [include/exclude] livestream/in-person services."
