How to ship temperature-controlled goods

With WebCargo Rate & Quote Air's temperature-controlled commodities feature, you can indicate if your shipment needs special handling.

With the passive temperature control feature, you can select if the product you’re sending needs special conditions, for example, if it's a pharmaceutical product, organic chemicals, or other controlled substances that need to be kept at a specific temperature throughout shipment.

To use this feature, open the side menu, click on the plus button, then click New.

Then select New eBooking from the dropdown.

This will take you to the shipment details section, where you can enter your cargo details. Enter your origin and destination, then select your commodity type from the Goods Type dropdown.

Along with the most common commodity types, lower down the list you’ll see three options with a purple thermometer icon. These are:

  • Food/Perishable

  • Chemicals (passive temperature control)

  • Pharma and Diagnostics (passive temperature control)

If you’re shipping temperature-controlled goods, select one of these options. After selecting one of the options with an icon, more options will appear.

The first section is the Temperature control range, where you can select the temperature your shipment needs to be kept. Select the temperature in Celsius or Fahrenheit by clicking on the °C or °F. The change will then be reflected in the dropdown options.

If you’re also shipping dry ice, select this box and enter the weight of the dry ice.

The dry ice total will be added to the total weight of the shipment, located at the bottom of the cargo details section.

Important: Stating that the shipment contains dry ice will send a special handling code to the carrier on completion of the shipment.

Another box will appear underneath the temperature control range asking if your shipment contains any Data loggers/Temperature trackers. If your shipment does contain any electronic devices to automatically monitor the environmental parameters of your shipment, make sure to select Yes.

Then, specify what type of data loggers or temperature trackers they are and the quantity.

Once you’ve entered your information and confirmed the temperature-controlled goods, click on Search flights and rates.

It is dependent on the airline whether temperature-controlled goods are accepted or not. To find out, please contact us by clicking on the green chat widget, or emailing our team at ebooking.support@freightos.com if you have any questions.

Firstly, in the search information at the top of the page, you’ll see this icon and information for the Goods type:

Then, after selecting your option and clicking on a rate card. This will bring up the details of your shipment. If you hover above the Service section, you will see a breakdown of the temperature control parameters.

Depending on the temperature range chosen, this is reflected in the service section. E.g if you selected 2 - 8 degrees, it will show +2 + 8.

The final place you’ll be able to find information about your shipment if it’s temperature-controlled is on the review and book page just before payment. Under the Shipment details section, you will be able to review the temperature information you previously entered.

This will give you a breakdown of the service, the range of temperatures, and the exact product that you have selected from the available options.

Important: Once the eBooking has been confirmed, it is very likely that there will be offline processes to complete with the airline. This may mean filling in the documentation and other pieces of information that the API does not send between the airline and WebCargo.
