With WebCargo’s AWB stock feature, the need to enter AWB numbers manually when finalising the eBooking is completely removed. You can add all of your stock from airlines directly to the platform and use it when securing your eBooking making the process smoother, quicker and meaning less errors.
Find out how to do this by watching this video:
Or continue reading the below article.
1. Contact the airline for AWBs
To get hold of AWB stock, please contact the airline for the AWB numbers, with the amount you want. The airline will then generate and assign them to you, which they will confirm.
2. Adding your AWB stock
Once you have your AWB stock, you’ll need to add it to your WebCargo Rate & Quote Air account. First, expand the side menu and find Tools, then, click on AWB management.
From this screen, you can view all existing stock if you have any. To add the stock received from the airline, click on Add new AWB stock.
Next, fill in the information for the AWB stock. By default, “My Stock” will be selected. To see how to add Delegate Stock, click here to skip ahead to that section. You can choose to add each AWB number individually or by Range.
When adding by range, select the carrier and enter the first and last numbers of your AWBs, the total will be calculated automatically.
Alternatively, select the Individual AWB option to input each AWB number if the numbers you’ve received are not sequential or if you only need to add a few. You can add more by clicking on Add new AWB stock.
Add delegate stock
If you have delegated eBooking authority to other agents or freight forwarders to make eBookings on your behalf, you can assign AWB stock for them to use when booking. Find out more about the eBooking delegation tool here.
In order to assign AWB stock to a delegate, select the Delegate Stock option. Next, choose whether to add by Range or Individual AWB as explained above. Finally, select both the Delegate and the Carrier you are adding stock for before entering the AWB numbers.
You can also configure notifications to be informed when the stock for a carrier is running low. Simply choose the minimum number of AWBs for you or another team member to be notified about when stock is low then enter the contact details where the notification will be delivered.
Important: Notifications regarding low stock will be sent to the email address entered.
3. Using your AWB stock when booking
Follow the normal eBooking procedure until you get to the review and book page.
After you have selected your dynamic rate to book with and are finalizing the eBooking, you have the option to Use own AWB stock from account. Select this option to use the stock on your account.
Important: The Use own AWB stock from account option will only appear if you have available stock for the selected airline.
If this option is selected, the AWB stock number will not show, but after your eBooking is confirmed, you’ll find the AWB number used under the eBookings section for the corresponding shipment.
4. Managing your AWB stock
After you've completed your eBooking with the stock feature, you'll see from the stock counter on the AWB management page that the stock number has decreased.
To see the remaining stock for delegates, click on the Delegate Stock tab and click on any Delegate to expand each section and see a detailed breakdown of remaining stock per carrier.
To view your own used stock, or stock used by delegates for previous eBookings, click on the Used tab.
Important: If you have used stock that you previously uploaded on WebCargo on an external platform or an airline website, you need to remove it manually, as the list will not automatically update under these circumstances.
Click on the Search tab and enter the AWB number to find specific stock. Click on the three dots on the right-hand side and then click on Remove AWB. This will delete the number from your list of AWB stock.
If you haven’t used it yet, you can click on Use AWB to open a pop-up, copy this number, and paste it wherever you need it.
