How to use WebCargo Pay

Add funds or credit to your account to be used to book directly from your WebCargo account.

WebCargo Pay allows you to add cash credits to your account to easily book shipments from the WebCargo platform, without a bank guarantee. Manage your wallet balance, add more funds, apply for credit, and view recent and past transactions.

This tool is available for non-IATA or CASS freight forwarders, IATA forwarders, and those who are not registered with some airlines but want to make eBookings.

How to add funds to your wallet

To add funds to your wallet, firstly click on the side menu, then select Payments from the Shipment section. Then click the “Top up button.

Specify how much you want to add along with any comments regarding the transfer. The currency shown will be the currency of the country you are currently logged in as.

Click Send request. The WebCargo finance team will then share WebCargo bank details with you for you to transfer funds over, as well as the deposit fee. Once received, we will then add these funds to your WebCargo wallet, minus the deposit fee.

You will receive an email once the funds have been added to your account. It’s important to note that different country banking jurisdictions have different times for transferring funds.

E.g. In the UK, you must allow up to 24 hours for funds to transfer, for US payments this can take up to 48 hours. Once the funds have been transferred, they will be visible under the Billing section of your WebCargo account.

Important: to keep you safe from phishing scams when sending information via email, we will not share any sensitive information, like bank details. We will only share links to the bank details page within your WebCargo account.

This requires you to log in to view any sensitive details. You can find WebCargo’s bank information with the account number to send funds to within your account.

How to use WebCargo Pay to book shipments

Follow the normal procedure to make an eBooking by clicking on the New eBooking button and making a rate search. After selecting your rate, and finalizing your shipment on the review and book page, you’ll only see the option to use funds from your WebCargo Wallet under the Payments section.

Your available balance will be shown if you have money remaining in your account; if you don’t have any credits, this will show as a red 0 in the currency set for your account.

If the amount you have in your wallet is less than the final price of the shipment, you’ll need to add more funds to your account to finalize the eBooking. To do this, please email eb-finops@freightos.com, or send a request in the same way shown above.

Important: because you are dealing with live rates which change frequently, you may need to make a new search once your account has been topped up.

If you have got sufficient funds, select the Freightos wallet option, enter your AWB number, and click Book this shipment. You’ll receive an onscreen message letting you know that the request has been received.

How to view the status of your paid eBookings

To check on the status of the eBooking, go to the My eBookings tab. Here, you can view eBookings made using funds from your wallet and the cost within the total deducted column.

Click on any of the eBookings to get a breakdown of the costs taken for the eBooking, including any surcharges and also any discounts applied to the final rate.

How to check your wallet balance and transactional history

To view your wallet balance and transaction history, go to the My eBookings tab and select the sub-tab Billing.

This is where you’ll find your Wallet balance, monthly expenses, and recent transactions which are shown every month. Click to See recent transactions.

You’ll be shown a summary of your recent movements while using the Freightos Wallet. This includes money paid in by you, refunded payments that were returned to your wallet because of cancellations or cost adjustments, and money that left your wallet for eBooking transactions.

Click on the month dropdown to choose the time period you’d like to see the transaction history. This will give you a complete breakdown of every payment, the date of the transaction, and how much balance was remaining afterwards for that month.

Cancellations and refunds

If your shipment is cancelled, and you used your Freightos Wallet to pay for it, the funds will be returned to your wallet to use again. Bear in mind that this does depend on the airline’s policy for cancellations. You will receive an email if your shipment has been cancelled.

How to withdraw funds from your wallet

If you wish to withdraw your funds from the wallet, please email eb-finops@freightos.com, and we will refund the balance to your bank account once all past transactions are billed and paid.

How to apply for WebCargo Pay Credit

Freightos Pay also allows customers who qualify for payment terms to use a credit system. To see if you qualify, please apply through the following link.

The WebCargo finance team will determine the necessary credit amount with which you can book shipments via the WebCargo platform, allowing you to complete eBookings in advance of payment.

If using Credit, after completing the shipments, you will be invoiced bi-weekly according to the contracted rates. The invoice will include both the shipment charges and specified fees which will be due upon the agreed terms (30 days after the invoice was first, 60 days after the invoice was first created, etc.)

Important: if you have applied for Freightos Pay Credit, you can not have the Freightos Pay Wallet option enabled and vice versa. This is only temporary as we develop the possibility to support multiple payment options. We hope to have this available shortly.

To add credits to your account, follow the same procedures shown above to request credits.

Important information about WebCargo Pay

Please make sure for any transfers made to WebCargo that the beneficiary bank name is Freightos Hong Kong Limited. Any payments using any other name will be rejected. If necessary, please inform your finance department or any other relevant team members.
