How to turn your accepted quote into an eBooking

If you have had a quote accepted by your client, you can now turn this into an eBooking and reserve your shipment using dynamic rates.

Imagine you’ve had a quotation accepted by your customer, but now you want to search for live flights and rates and book instantly using the information from the quote. With the accepted quote to book tool, you can now easily do this. Find out in this article how you can do this.

Firstly, in order to use an accepted, or won, quote, click on the Air tab, then click on the Quotating sub-tab.

If a quotation is showing as Won you will see the blue Book now button.

Clicking on it will automatically populate the details, including routing information, and the weight and dimensions, to the eBooking tool search page.

Click on Search flights and rates to search for live airline rates and capacity and follow the normal eBooking process to complete your eBooking.

Once you have completed the eBooking, the status on the Quoting tab for the previously won quote will change to Booked. Under the Actions column to the right-hand side of the eBooking, you can find the option to View eBooking.

Click on the View booking button to view the details of the booked shipments. This will show you the flight itinerary (routing information), the status of the shipment, and also the weight and dimensions details.

How to unlink the won quote with the eBooking

Once you have booked your shipment using the quote information, you can choose to unlink the booking from the quote. You may want to unlink the eBooking because the booking was cancelled for whatever reason, and you want to restart the process and link a new eBooking to the quote.

To do this, find the won quotation that has been turned into an eBooking within the Air, tab, then click on the Quoting sub-tab and click on the three dots on the right-hand side of the quotation.

A dropdown will appear with an option to Unlink booking. Click on this option, and a pop-up will appear asking you to confirm the unlinking of the eBooking. Click on Unlink the booking, and the booking will separate itself from the won quote.

A notification will appear stating that the booking has been unlinked successfully. To the right-hand side of the quote, the status will still show as Won, but you will now have the option to book again, instead of View booking as shown before.
