Configuration: VAT for Quotations

VAT calculations can be included for Quotation lines.

You can choose how to display VAT in your Quotation lines but setting the options when you browse to Configuration → Custom fields → Products → Quotation – linked data. Scroll down to display options.

The display of ”VAT% per line” is useful when validating the VAT percentage but normally you would not display the percentage per line. Usually you would just include the VAT total.

Simple VAT

If you want to add the same VAT percentage to all items regardless of the customer, you can configure the system by deactivating VAT group for Organisations.

Browse to Configuration → Custom fields → Products → Quotation – linked data and click the VAT icon.

Enter the VAT percentage to apply, and click Save. Quotationlines will now have VAT added.

If all Quotation lines have the same VAT rate then this value will be displayed in the VAT line.

If different VAT percentages are used for the Quotation lines then no percent value is displayed and you may wish to consider enabling the display of VAT percent values per line so that it is very clear to your Customer.

Advanced VAT

If you want to add different VAT percentages depending on the Customer and/or you have Products/Services with different VAT percentages, you must use these VAT settings:

If you want to add different VAT percentages depending on the Customer then you must enable the VAT group for Organisations.

To do this, browse to Configuration → Main settings → Data fields and enable in the Organisations section.

Then you will need to set up VAT groups. Do this by browsing to Configuration → Drop down lists → Organisations and adding your VAT groups to the box, using a unique number reference for each entry. For example:

1: Default VAT
2: EU VAT
3: No VAT
4: Other VAT zone

For each Organisation that you want to create a Quotation for, you will need to populate the VAT group field. It may be possible to do this using a Report with mass modify, for example if all the UK Organisation records will be charged the default VAT rate.

VAT percentage table

Browse to Configuration → Custom fields → Products → Quotation – linked data and click the VAT icon to configure your VAT rates in the table.

If you have Products/Services with different VAT rates, then you can specify Item VAT codes which have a VAT rate for each of the groups you have set up. You’ll need to include these in the imported Price list.

VAT import item lines

When VAT is enabled for Quotation lines, an Item VAT code column is added for importing items. For simple VAT calculations you can leave the column blank or use the same value for all lines – for example Standard.

For advanced VAT calculations you must specify an Item VAT code for every line in your Price list, and it must be one of the Item VAT codes you defined in the VAT percentage table.

Note: The maximum number of characters for an Item VAT code is 20.

The VAT percentage is calculated and saved when a Quotation line is created or edited and saved.

So if changes are made to the VAT percentage table, these changes will only impact Quotation lines created or edited after the changes took place in the VAT percentage table.
