Creating suggestions for the CoPilot extension

Suggestions help you deliver just-in-time training and support across the tools your team already uses. With Whale’s browser extension, you can automatically show the right card at the right moment, no matter where your team is working — from Gmail to Salesforce to any internal system.

By surfacing relevant SOPs, templates, or playbooks right when and where they’re needed, Suggestions help drive consistency, speed up onboarding, and reduce mistakes across daily workflows.


How Do Suggestions Work?

The Whale web extension suggests cards based on three smart variables:

  1. Who you are – your role or department

  2. Where you are – the tool or website being used

  3. What you’re doing – the page context or keywords

This means your team gets contextual help that’s always relevant — without needing to search for it.


How to Create a Suggestion

Step 1: Open the Card You Want to Suggest

  • Open any card in Whale

  • Click the Share button

  • The 💡 Suggestion icon will appear

  • Click “Add Suggestion”

Step 2: Choose Where to Trigger the Suggestion

You have two targeting options:

  • Exact URL – The card will appear only on a specific URL (e.g., https://crm.example.com/new-lead)

  • URL + Page Contains – The card will appear when:

    • The user is on a general page (e.g., mail.google.com)

    • The page contains specific keywords (e.g., “Kick-Off” to suggest a Kick-Off email template)

Enter the target URL and keywords (if needed), then click Save.


Managing Suggestions

You can edit or delete Suggestions by:

  • Opening the Suggestion pop-up by clicking on the suggestion

  • Click the three-dot menu in the right corner to edit or delete


Centralized Dashboard

For a full overview:

  • Go to the Training section

  • Click Suggestions

From this dashboard, you can:

  • View all active Suggestions

  • Edit, delete, or create new ones

  • Track how content is being triggered and used


Example Use Case

Let’s say your sales team sends kick-off emails via Gmail. You can attach the Kick-Off Email Template card to:

  • mail.google.com as the base URL

  • And trigger it when the page contains words like “Kick-Off” or “Client XYZ”

Now, when the team composes an email, Whale will automatically suggest the right content — saving time and ensuring consistency.
