Using tags

When your workspace grows, it’s easy to lose track of where everything lives. Tags help you cut through the clutter by giving a quick, visual way to identify the content of your playbooks and cards.

They make searching faster, improve discoverability, and help you group related content β€” even if it lives in different libraries or boards.

πŸ› οΈ Creating Tags at the Admin Level

Admins can manage tags from a central location:

  1. Go to Workspace Settings β†’ Tags

  2. See an overview of all existing tags (color, usage count, creator, creation date)

  3. Click Add Tag

  4. Give your tag a name and choose a color

  5. Save β€” the new tag is now available to use across the workspace


✏️ Adding Tags to a Playbook or Card

Admins and writers can also create and apply tags when editing content:

  1. Open the settings of the playbook or card
    ​

  2. Start typing the tag name

  3. If it doesn’t exist yet, choose Add tag from the prompt

  4. The new tag will be created and added to your content

  5. All tags can be edited later in Workspace Settings

Tags make finding content lightning fast:

  1. Click the magnifying glass in the top-right corner of Whale

  2. In the bottom-left panel, select one or more tags to filter by

  3. Your search results will now only show matching content β€” e.g., only SOPs, or all LinkedIn-related playbooks and cards


Example Use Case

  • Tag: Onboarding – applied to all new-hire procedures across different departments

  • Tag: LinkedIn – applied to marketing guidelines, outreach scripts, and brand voice documents

  • Tag: SOP – applied to all standard operating procedures for quick filtering
