Manage Contact Tags and List Membership in Whippy

Add, remove, or overwrite tags and static list membership for individual contacts or selected contacts.

Written by Maria Cairns

Why it matters

Tags and lists are two of the most common ways teams organize contacts. Keeping them accurate makes search, filters, segments, campaigns, and handoffs easier to trust.

Key Concepts

Contact tag: A label applied to a contact for organization and filtering.

Static list membership: A contact's inclusion in a fixed list.

Add: A bulk action mode that adds new tags or lists while preserving existing values.

Overwrite: A bulk action mode that replaces existing tags or lists with the selected values.

Un-assign: A bulk action mode that removes selected tags or static lists from contacts.

Step-by-Step: Update tags or list membership

  1. Open Contacts from the main sidebar.

  2. Search for and open an individual contact, or select multiple contacts in All contacts.

  3. For an individual contact, use Edit contact to update tags or lists.

  4. For multiple contacts, open the bulk actions menu.

  5. Choose Add tags, Overwrite tags, Un-assign tags, Add to lists, Overwrite lists, or Un-assign from lists.

  6. Select the tags or lists to apply.

  7. Review the selected contacts and action mode.

  8. Save or confirm the update.

Tips and Best Practices

  • Use Add for normal enrichment so existing organization is preserved.

  • Use Overwrite only when the selected contacts should have exactly the chosen tags or lists.

  • Create and maintain available tags in Settings > Tags.

  • Use segments when list membership should be based on rules rather than manual selection.

Troubleshooting

Issue

Possible Cause

Fix

A tag is not available to select

The tag has not been created in Settings > Tags

Create the tag in Settings or ask an admin to add it

Existing tags or lists disappeared

Overwrite was used instead of Add

Restore the missing tags or lists and use Add next time

A contact keeps leaving a dynamic audience

The audience is a segment, not a static list

Update the contact data so it matches the segment rules or add the contact to a static list
