Bulk Actions for Contacts in Whippy

Apply updates to multiple selected contacts from the Contacts table.

Written by Maria Cairns

Why it matters

Bulk actions save time when a team needs to update many contacts at once. They are especially useful for adding contacts to lists, managing tags, starting outreach, or updating subscription status.

Key Concepts

Selected contacts: The contacts checked in the All contacts table before a bulk action is run.

Audience review: The step of confirming the selected contacts are the right people before applying an action.

Tag and list actions: Bulk options for adding, overwriting, or removing tags and static list membership.

Messaging actions: Bulk options such as adding contacts to a sequence, creating a campaign, removing contacts from a sequence, or unsubscribing contacts.

Step-by-Step: Run a bulk action

  1. Open Contacts from the main sidebar.

  2. Select All contacts.

  3. Use Search or Filter to narrow the table to the intended audience.

  4. Select the contacts that should be updated.

  5. Open the bulk actions menu.

  6. Choose the action, such as Add tags, Add to lists, Add to sequence, Create campaign, Remove from sequence, or Un-subscribe.

  7. Review the action details carefully.

  8. Confirm the action.

Tips and Best Practices

  • Filter first, then select contacts so the selected audience is easier to verify.

  • Use Add when you want to preserve existing tags or lists.

  • Use Overwrite only when the selected contacts should replace existing tags or list memberships.

  • Be careful with Un-subscribe because it affects whether selected contacts can receive messages.

Troubleshooting

Issue

Possible Cause

Fix

Bulk actions are not visible

No contacts are selected or the user does not have the required permissions

Select at least one contact and review Contacts permissions

A bulk tag or list update removed existing values

Overwrite was used instead of Add

Use Add for future updates and restore the missing values if needed

The wrong contacts were selected

Search or filters were not reviewed before selection

Clear the selection, adjust the filter, and reselect the correct contacts
