Accepting and Assigning a Lead

Updated over a month ago

Tip: While this article covers how to manually accept and assign leads, we recommend enabling Auto Accept to streamline your lead management process and improve efficiency on your Work Truck Solutions site.

Overview

This article explains how Truck Pros can accept and assign leads. When a buyer submits a lead on your website, it’s automatically routed to the next Truck Pro in rotation based on your dealership’s settings.

Truck Pros with Sales Manager permissions can either accept or assign a lead, while other Truck Pros can only accept. Understanding how to assign or accept a lead helps ensure leads are managed efficiently and followed up on promptly—maximizing productivity and improving the customer experience.

Guide to Accepting or Assigning Leads

Step 1: Receive the Lead Notification

  • Once a buyer submits a lead, the next available Truck Pro in rotation will receive a notification through both:

    • Email: A notification will be sent to the email address used to log into the website.

    • Text Message: Only sent if the Truck Pro’s cell number is on file and they are set up to receive texts.

Step 2: Access New Lead

  • To access the lead, simply click the link provided in the notification.

  • This will automatically log you into the website and direct you to the My Buyers page, where you can view the details of the new lead.

Step 3: Assign or Accept the Lead

Once you have been directed to the My Buyers page, you’ll need to decide whether to accept the lead or assign it to another Truck Pro, if applicable.

If you have Sales Manager-level permissions, you will have the option to either accept the lead (to take ownership of it yourself) or assign the lead to another Truck Pro. However, If you do not have Sales Manager-level permissions, you will only have the option to Accept the lead. Let's explore both options below!

Assign a Lead (For Sales Managers only)

  • (A): Click on the “Assignbutton to open the assignment window.

  • (B): Select the Truck Pro you want to assign the lead to

  • (C): Once selected, click “Save”.

    • The lead is now assigned and will appear under the chosen Truck Pro's “My Buyers” page for them to accept.

Accepting a Lead

  • Simply click the “Accept” button under the lead details.

  • This will assign the lead to you and it will appear in your customer list, making it available for you to begin working on.

Conclusion

Accepting and assigning leads efficiently is key to maintaining smooth operations and providing excellent customer service. Whether you are a Manager assigning leads to others or a Truck Pro accepting leads, the process is simple and ensures that all leads are promptly followed up on.
