Managing and Modifying Lead Alert Schedules

Updated over a month ago

Overview

To optimize lead response times, it's essential to manage and modify the Lead Alert Schedule for each Truck Pro in rotation as needed. Buyer-generated leads can occur at any time—day or night—and to ensure that Truck Pros receive notifications promptly, their lead alert schedules must align with their availability. For example, if a lead is generated on a Saturday evening, but the alert schedule is set to notify the Truck Pro on Monday at 8 AM, there could be a significant delay in response. By modifying the Lead Alert Schedule, you can ensure that notifications are sent immediately or at a time that works for the Truck Pro, based on their specific availability.

This article will guide you through the process of understanding how to manage and modify the Lead Alert Schedule for each Truck Pro, ensuring that Truck Pros in rotation receive timely lead notifications, even outside of regular business hours.

Importance of Managing Lead Alert Schedules

  1. Enhanced Response Times: By clearly defining when your Truck Pros are available, you ensure that leads are promptly attended to, increasing the chances of conversion.

  2. Efficient Resource Allocation: Tailoring the availability hours according to your dealership's peak times helps optimize workforce management, ensuring that leads are distributed effectively.

  3. Improved Buyer Experience: Customers appreciate quick responses. By setting up a proper lead alert schedule, you create a more positive interaction with potential buyers.

  4. Accountability and Tracking: Clearly defined schedules help track performance, making it easier to analyze which times yield the best results.

How to Modify Lead Alert Schedule

Follow these steps to adjust the Lead Alert Schedule for any Truck Pro in rotation.

Step 1: Access the Truck Pro Management page.

Step 2: View Truck Pro Profile

  • Click the line for the Truck Pro you wish to modify, which will open a drop-down of the individual Truck Pros profile.

Step 3: Access the Lead Alert Schedule

In the profile settings, locate the Lead Alert Schedule section.

Step 4: Open the Edit Schedule window

Click on any time shown on the schedule to open the Edit Schedule window. This window will allow you to edit a variety of things. Let’s explore those below:

  • (A) Adjust Hours: Click any time shown on the schedule to open the Edit Schedule window. Using the dropdowns, adjust the availability for the Truck Pro that you have selected.

  • (B) Select Available Days: To the left of the dropdown time slots, you can check or uncheck the days of the week that the Truck Pro is available. This allows you to fine-tune their schedule by selecting which days they are active for lead alerts.

  • (C) Set "Available All Day": If you want the Truck Pro to receive notifications at any time of day, regardless of when a lead is generated, you can select "Available All Day." This ensures that leads are sent immediately, no matter when they come in.

  • (D) Vacation Pause: If the Truck Pro is unavailable for a certain period (e.g., a vacation), you can use the Vacation Pause feature. This allows you to pause lead notifications for specific hours within the selected time frame, ensuring no leads are sent while the Truck Pro is unavailable. Simply enter in the timeframe that they will be out along with the hours, and lead alerts will be paused accordingly.

Step 5: Save the Changes

  • Once you've adjusted the schedule to reflect the Truck Pro's availability, click Save to apply the changes.

Conclusion

By modifying the Lead Alert Schedule for Truck Pros in rotation, you can ensure they receive timely notifications, even if a lead is generated after hours. Customizing the schedule to fit each Truck Pro’s availability will help streamline your lead response process and ensure no opportunities are missed.
