How to Import Customers from a CSV File

Import customers from a CSV using the Import customers wizard.

Import a CSV of customers when you already keep accounts in a spreadsheet — so you can load the book of business without typing every record by hand.

Before You Start

  • Plan/Package: Included with limited customer management and above.

  • Role & Permissions: Salespeople, Sales Managers and Admins can import customers. Each customer is assigned based only on the Salesperson email column, not on who runs the import, so any of these users can import customers for any salesperson. For example, a Salesperson can import customers that end up assigned to someone else. Analytics and Inventory Manager users can view customers but can't import.

  • Before you begin: Prepare a CSV (up to 100MB). A downloadable template with the basic import columns is available in Step 2. To assign each customer to a salesperson, include a column with the salesperson's email on every row.

Steps to Import Customers

Step 1: Open Import customers

  • Go to Customers and click Import.

Step 2: Upload your CSV

  • Starting a new file? Click Download CSV template to get a CSV with the basic columns available for importing. Fill it in with your customers so your columns match.

  • On Upload file, drag in a CSV or click to choose a file. Click Start import to continue to field matching.

Step 3: Match data fields

  • On Data fields match, map each column with the correct attribute in each dropdown. Match at least a Name. Set each row type to Business or Individual as needed.

  • Match your salesperson column to the Salesperson email attribute so each customer is assigned to the right salesperson.

  • Wrong file? Click the arrow at the very top left of the screen to go back to the file selection page. Click the trash can icon next to the file, then start again by selecting the correct file.

Tip: Not all fields may fit on the screen. If your file has many columns, scroll to the right to match every column with the correct attribute.

Step 4: Start the import, review and complete

  • Click Start import again to begin importing your data. Review validation results. Use Make changes if needed, or Proceed with import or Import anyway when you are ready. When finished, check Customers created, Records skipped, and Warnings on Import complete!.

  • Import anyway also creates any rows flagged as duplicates. See Duplicates under Good to Know before using it.

If your file has errors, you'll see a summary like this:

When the import finishes, you'll see:

Note: Import customer records only. Extra unrelated columns can cause incomplete imports.

Good to Know

  • Duplicates: rows with an email address that matches an existing customer are flagged as duplicates and aren't created. Clicking Import anyway creates them regardless, which leaves you with duplicate records. Best practice: open your file, remove the duplicate rows, save it, then start the import again.

  • Larger or more complicated files: if your file is large or complex — for example, an export from your DMS with multiple vehicles per customer, so a customer who bought 17 trucks appears 17 times — don't import it as-is. Contact support for assistance. The team can match the rows so each customer comes in as one record, with every vehicle listed on that customer's Fleet tab.

  • After a sales-history import, the Fleet tab may include vehicles the customer no longer owns. You can remove those before sending the file or clean them up afterward.

  • Salesperson assignment: each customer is assigned based on the column you match to Salesperson email. For best results, make sure every row in your file has the correct salesperson email. Any record without one is imported unassigned and must be assigned manually on the Customers page, which can be tedious for large imports. Assigning one customer record to more than one salesperson isn't supported.

Conclusion

A clean CSV import gets your commercial accounts into Customers so your team can start working them from day one.
