Uploading and Managing Invoices

Upload, view, and manage vehicle invoices directly on the listing.

Easily add invoice to units directly by clicking on them. Anyone with dealership access to the Inventory page can view them, though only certain roles can delete them.

Before You Start

  • Permission level: viewing invoices is available broadly to anyone with Inventory page access. Uploading and deleting unprocessed invoices likely requires a higher permission level (Sales Manager or Inventory Manager, consistent with other pricing/inventory edit actions) — not yet confirmed for this specific flow.

Uploading an Invoice

  1. Open the Inventory page

  2. Search for the inventory you are looking to add an invoice for

  3. Click the VIN in question and a drawer will slide out

  4. Click Choose File to open a file browser, or drag and drop a file directly into the Files panel.

Note: Invoices take ~24 hours to fully process through the system. Once uploaded please allow a moment before you will see relevant details both in the portal and on your website(s).

View and Manage Invoices

  1. Open the Inventory page

  2. Search for the inventory you are looking to add an invoice for

  3. Click any file link in the Files section to open the invoice or window sticker.

  4. Invoices that haven't finished processing show a trash can icon and can be deleted.

  5. Once an invoice has been processed, it can no longer be deleted by dealership users. To change or correct it, contact Customer Success.

Viewing Historical Invoices

  1. Open the Inventory page

  2. Use the filters to Show Sold Units which shows past inventory no longer on your lot

  3. Search for the inventory by VIN, stock, or Year/make/model/trim/body type

  4. Click the vehicle and review the invoice on the related vehicle

Good to Know

  • This replaces the standalone Invoice Binder tool. The change was made by broadening who has access to the Inventory page itself — users who shouldn't edit listings still can't, but everyone can now view invoices the same way, without a separate tool.

  • There's no self-serve way yet to request an update to a processed invoice (e.g., correcting body type) — this goes through Customer Success for now.
