Understanding how a lead turns into a customer record and a deal helps you know what to expect in the pipeline without doing anything manually.
Before You Start
Plan/Package: Requires the CRM add-on. Deals — including auto-created ones from leads — aren't included with limited customer management; dealers with limited customer management can still receive and view leads as customer records, but without a Deals pipeline.
How It Works
Your dealership gets a dedicated lead email address as part of onboarding — share this with any third-party lead sources you work with (AutoTrader, CarGurus, Truck Paper, etc.).
When a lead comes in through your storefront, Comvoy.com, or one of those third-party sources, it automatically creates (or updates) a customer record and a new deal, with the vehicle they inquired about added as a vehicle of interest.
Filters can be configured on your lead email address so only the leads you actually want come in — for example, only leads where the stock number starts with a specific character, or only certain models. This keeps unrelated retail leads out of your commercial pipeline even when you're sharing a lead source with a retail department.
Phone calls routed through your tracked phone system are also piped in automatically. Calls tagged as sales or service inquiries create a customer record and deal the same way a web lead does.
Good to Know
New lead-created deals start at the beginning of the pipeline by default (see How the Deals Pipeline Works: Stages and Views for stage names).
If a dealer group runs both the CRM add-on and its own separate retail CRM off the same lead sources, filtering has to be set up on both sides to fully separate the two — WTS can filter what comes into the portal, but keeping retail systems from also picking up the same lead is a separate configuration on their end.
