Create a task when someone needs a dated follow-up on a customer — so reminders live on the record instead of in a personal notebook.
Before You Start
Plan/Package: Requires the CRM add-on.
Role & Permissions: Admins and Sales Managers can create tasks for themselves or any user at the dealership. Salespeople can create tasks only for themselves. Inventory Managers and Analytics users can't create tasks. See User Roles and What Each Can Do.
Before you begin: The customer record must already exist (see How to Add a Customer Record).
Steps to Create a Task
Step 1: Open the Tasks tab
Open the customer record and click the Tasks tab. You can also choose Add entry → Add task from the customer header.
Step 2: Start a new task
Click New task. The task form opens.
Step 3: Fill in the task
Enter a Title (required) and optional Description. Set a Due date (required).
Choose an Assignee if needed (this defaults to you). Salespeople can only assign tasks to themselves.
Optionally pick an Associated deal (see How the Deals Pipeline Works: Stages and Views).
Step 4: Save the task
Click Save. The task appears on the customer's Tasks list.
Good to Know
As soon as a task is saved, it shows up in the assignee's Appointments and tasks widget on the Dashboard, mixed in with their upcoming appointments and sorted by date. The widget lists the next three items, and its badge counts every upcoming task, including ones beyond those three (see What's on Your Dashboard and How to Schedule a Customer Appointment).
A task only appears in that widget when it's assigned to the person viewing the Dashboard, the customer belongs to the dealership selected on the Dashboard, the due date hasn't passed, and the task isn't marked Completed.
Once a task's due date passes, it drops off the Dashboard and doesn't come back. Keep an eye on due dates so follow-ups don't slip.
You won't get a notification when someone else assigns you a task — check your Dashboard to see what's coming up.
To log something that already happened (e.g., a phone call you just took), click Add entry and select Log activity instead.
Conclusion
Dated tasks on the customer keep follow-ups visible to the whole team, not just the person who remembered.
If you don't see the Tasks tab on a customer record, it isn't part of your current setup. Contact support for assistance.
