How to Rehire One Staff Member | Using the Rehire Wizard

If you want to rehire a staff member who previously worked for your organization, the “Rehire Wizard” will walk you through all the steps.

It is necessary to ensure that:

  • This staff member receives an email notification from your organization via WorkBright on the day that you specify, welcoming them to log back on.

  • Any necessary changes to their profile, such as job title, pay rate, and start date, have been made.

  • Any forms that they need to recomplete are reassigned.

  • Any new forms that they’ll need to complete for the first time are assigned.

1. To get started, visit the staff’s personnel file in WorkBright and go to the “Employment” tab. From there, select Change Status, and you’ll see an option to Rehire.

2. Selecting “Rehire” will initiate the Rehire Wizard. On the “Profile Info” and “Custom Fields” tabs, you’ll be able to review and make any necessary changes to their info, such as changing their job title or pay rate. On the “Groups & Forms” tab, you can choose to leave the staff’s Group assignment as is and allow your account’s default reassignment settings to go through,

Or you can choose to make individualized changes to this staff’s new form assignments and reassignments:

3. Forms pre-checked for reassignment in blue when you arrive at this tab have been defaulted in your account by you or another administrator to be reassigned to all rehires. From this tab, you can:

  • Remove these form reassignments on an as-needed basis by unchecking the form,

  • Add additional form reassignments by checking the form

  • Add NEW form assignments for the staff by adding them to new Groups

  • Remove access for the staff to previously completed submissions and/or previously assigned forms by removing them from Groups

4. On the fourth tab, “Employment,” adjust the staff’s employment dates and set a “Notification Start Date” -- this is when the staff will be welcomed back in to WorkBright to complete their reassigned forms.

Employment dates are often merged into the bodies of offer letters and contracts so it is important to update these and ensure that those important forms show the right info to your staff. Changing these dates will not affect previously signed submissions.

5. The “Review” tab will provide a summary of every change you just made to this staff’s personnel file and tell you what’s about to happen next!

6. On the day you designate, your staff will receive their “Welcome Back” email from your organization via WorkBright:
