Employee Account Already Exists: What is a Crossover Employee?

I'm trying to add one of my Employee to the account by seeing an error, what does this mean and will I still be able to add my Employee?

This Error indicates that they are a Crossover Employee.

What is a Crossover Employee?

One of WorkBright’s key goals is to help cut down on the number of daily, repetitive tasks Administrators and employees are faced with as a part of their jobs. One opportunity for this is when it comes to adding Employees to the account, as employees will only rarely need to update their account information (such as email address, address, etc).

During the process of adding a new Staff member, after you’ve entered the employee’s email address into the Add New Staff Wizard, WorkBright runs their email through our employee database of search to confirm whether or not an employee record already exists for this person (with the unique identifier here being the email address itself). Ultimately, that’s all a cross-over employee is, an employee who already exists somewhere else in the WorkBright system (under another Company).

If an existing employee record is located, WorkBright will pre-fill this employee’s information into the Add New Staff Wizard, saving both you and them a great deal of time. Also, fortunately, the employee will still be allowed to update their profile data when they first access the account. You can see an Employee’s information being pre-filled in the image below:

Curious as to How This Usually Occurs?

You’ll typically find Employees to have multiple accounts in two different scenarios: the first is pure coincidence. Crossover employees are also common across Companies that have franchises, where the Employee may be working out of different locations.

Here’s an example: Company A uses WorkBright and has just added a new Employee, Jennifer, to the account so she can complete her onboarding paperwork and begin employment.

Time passes, Jennifer eventually leaves Company A and is now employed with Company B (your Company), which also uses WorkBright. As we saw in the image above, when you try adding Jennifer to the account, WorkBright will run a search on her email.

Will Crossover Employees be a Problem for Me? I Just Want to Onboard My Employees

Fortunately, no. Let’s have a closer look to see what we mean. Recall the yellow alert from our image above. If an existing record is found for an Employee, WorkBright will also display this alert along with pre-filling their information:

While it is easy to mistake this for an error, it is rather just an alert letting you know that this is a crossover Employee and as it explains, in addition to it pre-filling their information for you on the Add New Staff Wizard, this Employee will also be given the opportunity to review and update any of their profile information.

You can always identify the alert by its yellow background color and the message. Whenever you run into one of these, feel free to continue adding the Employee to the account as normal.

Employee Already Exists Error

There are, however, separate instances where you may try adding an Employee to the account and you receive an error like the one pictured below.

This informs us that this Employee already exists on this specific account. Unlike the alert, this one is an error, and you won’t be able to continue adding this Employee, as they already have an account under this email address present somewhere on your account.

Whenever this happens, we recommend trying to search for the Employee from either the search box in the top-left corner of the screen or from the Staff page. If there is a profile on this account for the Employee, you’ll be able to access it just like any other Employee profile during a search.

If you still cannot locate the Employee and you’ve also verified that you are using the same email address in your search and when you tried adding them, you may need to reach out to the WorkBright support so we can have a closer look. You’ll be able to do so by clicking the help button in the bottom right corner of the page and submitting your ticket.
