Team Calendar and Round Robin Booking Consultations

This article will help you and your team set up a business calendar that will rotate booking consultations between your staff.

The Team Calendar feature in Migration Marketplace allows you to manage consultation bookings across multiple team members using a round robin system. This ensures client consultations are distributed evenly among your available team members, preventing any single person from being overbooked.

Important: Before using this feature, each team member must connect their calendar to Migration Marketplace to receive bookings. Without a connected calendar, team members will not appear in the round robin rotation and cannot receive consultation appointments.


How Round Robin Booking Works

Round robin booking helps distribute consultation bookings across your available team members.

When a client books a consultation, the system checks team member availability and assigns the booking based on the next available person in the rotation.

The system considers:

  • each team member’s availability

  • existing bookings

  • available consultation time slots

  • round robin order

This helps keep bookings balanced across your team.


Viewing Your Team Calendar

To view your team’s calendar availability:

  1. Log in to your Migration Marketplace account.

  2. From the left-hand menu, go to Manage.

  3. Click Business profile.

Select the Calendar tab.

You will see a monthly calendar view and a list of users who have connected their calendars.

For each user, you may be able to see:

  • their name

  • profile picture

  • availability status

  • next available time slot

  • number of current bookings

This gives you a quick overview of your team’s consultation capacity.

This overview helps you monitor your team's availability and booking distribution at a glance.


Set your own calendar availability

Each team member should configure their own availability from their user profile.

To set your availability:

  1. From the left-hand menu, go to Manage.

  2. Click User profile.

  3. Select the My calendar tab.

  4. Choose a date from the monthly calendar.

  5. Review the daily time slots shown on the right-hand side.

  6. Toggle the switch beside each time slot to make yourself available or unavailable.

  7. Use the filters at the top right:

    • Booked only - View only time slots with confirmed bookings

    • Set day off - Mark entire days as unavailable

Available time slots will be used for consultation bookings. Unavailable time slots will not be offered to clients.

By customising these settings, you control when you're available to receive consultation bookings. The system will only assign consultations to you during your designated available times.


Managing Team Bookings

Once team members have connected their calendars and set their availability, the round robin system automatically handles incoming consultation requests.

Clients booking through your marketplace profile will be matched with the next available team member based on:

  • Current availability settings

  • Existing bookings

  • Round robin rotation

The Team Calendar overview shows you at a glance who is available and when their next slot is, making it easy to manage your team's capacity and ensure balanced workload distribution across all migration specialists.

Tips for Effective Team Calendar Management

  • Regularly check the Team Calendar to monitor booking distribution

  • Ensure all team members keep their availability settings up to date

  • Use the "Set day off" feature for holidays, leave, or days with other commitments

  • Review the "Next slot" times to identify if any team member is becoming overbooked

  • Encourage team members to connect their calendars as soon as they join your practice


Troubleshooting

A team member is not appearing as available

Ask the team member to check that they have connected their calendar and turned on available time slots in Manage > User profile > My calendar.

A team member is not receiving bookings

They may not have available time slots configured, or their calendar may not be connected correctly.

A client cannot find any available consultation times

Check that at least one team member has future available time slots turned on.

One team member is receiving too many bookings

Review each team member’s availability and booking count in the Team Calendar. If needed, adjust availability to balance consultation capacity.

A team member is unavailable for a full day

Use the Set day off option to block the day from consultation bookings.
