Team Calendar and Round Robin Booking Consultations

The Team Calendar feature in Migration Marketplace allows you to manage consultation bookings across multiple team members using a round robin system. This ensures client consultations are distributed evenly among your available team members, preventing any single person from being overbooked.

Important: Before using this feature, each team member must connect their calendar to Migration Marketplace to receive bookings. Without a connected calendar, team members will not appear in the round robin rotation and cannot receive consultation appointments.

How Round Robin Booking Works

When a client books a consultation through your Migration Marketplace profile, the system automatically assigns the appointment to the next available team member in rotation. This distributes consultation bookings fairly across your team and ensures clients can book with the first available specialist.


Viewing Your Team Calendar

To see an overview of your team's availability and upcoming bookings:

Step 1: Navigate to Manage in the left-hand menu and click on Business profile.

Step 2: Select the Calendar tab at the top of the page.

Step 3: You'll see a monthly calendar view showing the current month. Below the calendar, there's a Users section that displays all team members who have connected their calendars.

For each team member, you can see:

  • Their name and profile picture

  • Availability status (Available or not)

  • Next available time slot (e.g., "Next slot: 09:00")

  • Number of current bookings (e.g., "0 bookings")

This overview helps you monitor your team's availability and booking distribution at a glance.


Configuring Individual Availability

Each team member needs to set their own availability preferences to participate in round robin bookings. Here's how to configure your personal availability:

Step 1: Navigate to Manage in the left-hand menu and click on User profile.

Step 2: Select the My calendar tab.

Step 3: You'll see a calendar view on the left and a daily schedule view on the right showing time slots in 30-minute intervals.

Step 4: Click on a specific date in the monthly calendar to view that day's time slots.

Step 5: In the daily view, you'll see time slots from morning to evening (e.g., 09:00-09:30, 09:30-10:00, etc.). Each slot shows "No slot scheduled" by default.

Step 6: Toggle the switches on the right side of each time slot to turn your availability on (purple/blue) or off (gray) for specific times.

Step 7: Use the filters at the top right:

  • Booked only - View only time slots with confirmed bookings

  • Set day off - Mark entire days as unavailable

By customising these settings, you control when you're available to receive consultation bookings. The system will only assign consultations to you during your designated available times.


Managing Team Bookings

Once team members have connected their calendars and set their availability, the round robin system automatically handles incoming consultation requests.

Clients booking through your marketplace profile will be matched with the next available team member based on:

  • Current availability settings

  • Existing bookings

  • Round robin rotation

The Team Calendar overview shows you at a glance who is available and when their next slot is, making it easy to manage your team's capacity and ensure balanced workload distribution across all migration specialists.

Tips for Effective Team Calendar Management

  • Regularly check the Team Calendar to monitor booking distribution

  • Ensure all team members keep their availability settings up to date

  • Use the "Set day off" feature for holidays, leave, or days with other commitments

  • Review the "Next slot" times to identify if any team member is becoming overbooked

  • Encourage team members to connect their calendars as soon as they join your practice
