How to add a contact in Migration Marketplace

The Contacts section in Migration Marketplace allows migration specialists to store and manage client information in one place.

You can use Contacts to add employers, recruiters, and individual clients, assign them to a team member, view their details, and connect them to matters.


When to use Contacts

Use the Contacts section when you need to:

  • Add a new employer, recruiter, or individual client

  • Store client details in your Migration Marketplace account

  • Assign a contact to a team and lead user

  • Start a matter for a client

  • View matters linked to a contact

  • Keep client information organised for case management


How to add a new contact

To add a new contact:

  1. Log in to your Migration Marketplace account.

  2. From the left-hand menu, click Contacts.

  3. Click Add contact in the top-right corner.

  4. Select the contact’s account type.

  5. Enter the contact’s basic information.

  6. Assign the contact to a team.

  7. Select the lead user responsible for the contact.

  8. Click Save & proceed.

Once the contact has been created, you should see a confirmation message such as Client created successfully.


Select the account type

When adding a contact, select the relevant account type from the dropdown menu.

Available account types include:

  • Employer

  • Recruiter

  • Individual

Choose the option that best matches the contact you are adding.

For example, select Employer if the contact is a business or organisation client. Select Individual if the contact is a visa applicant or individual client.


Enter the contact details

After selecting the account type, complete the required contact fields.

This may include:

  • First name

  • Last name

  • Email address

Make sure the email address is correct before saving, as this may be used for future communication and account access.


Assign the contact to a team

Use the Select team dropdown to assign the contact to the relevant team within your agency.

This helps organise contacts by business unit, location, internal team, or workflow.

For example, you may assign a contact to:

  • Team Europe

  • Team Australia

  • Another team configured in your account

Select the lead user

Use the Select lead dropdown to choose the main person responsible for managing the contact. The lead user is usually the migration specialist or staff member who will oversee the relationship, matter, or client work.

Save the contact

Once all required details have been entered:

  1. Review the account type, contact details, team, and lead.

  2. Click Save & proceed.

  3. Wait for the success confirmation message.

The contact will now appear in your Contacts list.


Viewing a contact profile

After creating a contact, you can open their profile from the Contacts list.

To view a contact:

  1. Go to Contacts.

  2. Search for the contact if required.

  3. Click the contact’s name.

The contact detail page gives you a full overview of the contact and any linked activity.


Contact profile sections

A contact profile may include the following tabs:

  • Profile

  • Matters

  • Teams

Profile tab

The Profile tab contains the contact’s main information.

Depending on the contact type, this may include:

  • Contact name

  • Account type

  • Company or organisation details

  • Basic information

  • Contact person

  • Client status

  • About company information

You can use this section to keep the contact’s core details up to date.

Matters tab

The Matters tab shows matters linked to the contact. From this section, you can review open and closed matters associated with the contact. You can also start a new matter directly from the contact profile by clicking Initiate matter.

Teams tab

The Teams tab shows which team members are connected to the contact.

Use this section to understand who has access to the contact and who is responsible for managing them.


Understanding the Contacts list

The Contacts list shows key information about your contacts at a glance.

This may include:

  • Contact name

  • Account type

  • Assigned team

  • Lead

  • Joined date

  • Number of matters

  • Status

  • Contact options

  • Available actions

You can use this page to quickly review and manage your client base.

Finding contacts

To find a contact quickly, use the search bar at the top of the Contacts page.

You can also use the account type tabs to filter contacts by:

  • All

  • Employer

  • Recruiter

  • Individual

Use the Filter button if you need to narrow down the results further.


Creating a matter from a contact

Once a contact has been created, you can initiate a matter directly from their profile.

To do this:

  1. Open the contact profile.

  2. Click Initiate matter.

  3. Complete the matter details.

  4. Assign the relevant team, lead, support person, and services.

  5. Save and proceed.

This links the new matter to the contact automatically.


Important notes

  • Make sure the contact’s email address is entered correctly before saving.

  • Make sure the correct account type is selected, as this helps determine how the contact is managed in the platform.

  • Assigning a team and lead helps keep ownership clear across your agency.

  • A contact must exist before you can assign them to a matter.


Troubleshooting

I cannot save the contact

Check that all required fields have been completed.

Required fields may include account type, name, email address, team, and lead.

I cannot see the team I need

The team may not have been created yet, or you may not have access to it.

Check your team settings or speak with your account administrator.

I cannot see the lead user I need

The user may not be assigned to the selected team, or their account may not be active.

Try selecting the correct team first, then review the available lead options.

I selected the wrong account type

If the contact has been created with the wrong account type, review the contact details and update what you can.

If the account type cannot be changed, you may need to create a new contact with the correct account type.

I cannot find a contact after creating it

Use the search bar on the Contacts page and check the account type filters.

For example, if you created an individual contact, make sure you are not only viewing the Employer or Recruiter tab.

I cannot start a matter for a contact

Make sure the contact has been created successfully and appears in your Contacts list. If the contact is not available when creating a matter, check that the contact details, team, and lead have been saved correctly.
