You can build reusable fee schedule templates from the Service manager, or customise a fee schedule while creating a matter for a specific client. Fee schedules help ensure your agreements clearly show the professional fees, government fees, disbursements, GST settings, payment terms, and any other costs connected to the service.
What is a fee schedule?
A fee schedule is a breakdown of the costs included in a migration service.
It may include:
Professional Fees – your migration service fees
Home Affair Fees – government application fees or related charges
Disbursements – third-party costs such as medical exams, police checks, translations, or document services
Miscellaneous – any additional fees that do not fit into the other categories
Fee schedules can be added to client agreements so applicants can review the expected costs before signing.
When to use fee schedules
Use fee schedules when you need to:
Create pricing for a visa service
Build a reusable fee template
Add professional fees to an agreement
Add Home Affair Fees or third-party costs
Set payment terms for each fee item
Decide whether GST applies
Choose which items should appear in the client quote
Prepare a clear agreement for client review and signing
How to build a fee schedule template
You can build fee schedules from the Service manager section.
This allows you to create pricing templates against specific visa services.
To build a fee schedule template:
Log in to your Migration Marketplace account.
From the left-hand menu, click Manage.
Click Service manager.
Locate the visa service you want to configure.
Click the three dots under the Action column.
Select Build fee schedules.
Add or edit fee items under the relevant fee categories.
Review the fee item details, payment terms, GST settings, and quote settings.
The fee schedule can then be used when creating agreements or matters connected to that service.
Add a fee item
To add a fee item:
Open the relevant fee schedule.
Go to the category where the fee should be added.
Click Add fee item.
Enter the fee details.
Configure the fee type, amount, payment terms, GST setting, and quote setting.
Save the item.
You may see a confirmation message once the fee item has been added successfully.
Fee schedule categories
Fee items are organised into categories.
Professional Fees
Use this section for your professional service fees.
Examples may include:

Document Review & Lodgement
Consultation or advisory fees
Home Affair Fees
Use this section for government-related fees or charges connected to the visa application.
Examples may include:

Use this section for third-party or external costs.
Examples may include:
Police certificates
Health examinations
Certified copy services
Translation costs
Courier or postage fees
Miscellaneous
Use this section for any other fee item that does not fit into the standard categories.
Fee item fields explained
Each fee item includes several configurable fields.
Title
The Title is the name of the fee item.
For example:
Professional Fees
Visa Application Preparation
Police Certificate
Health Examination
Use a clear title so the client can understand what the charge relates to.
Quantity/Fee
The Quantity/Fee field determines how the fee is calculated.
Common options include:
Fixed – a single fixed amount
Hourly – a time-based fee
Pr – a price or unit-based fee with a quantity
% – a percentage-based fee
Fee amount
Enter the fee amount in Australian dollars.
For example:
A$1500
A$800
A$300
A$100
Check the amount carefully before sending the agreement to the client.
Payment terms
Payment terms determine when the fee is due.
Available payment terms may include:
Upon signing the agreement
Manual
30 days after acceptance of the agreement
45 days after acceptance of the agreement
60 days after acceptance of the agreement
Choose the payment term that matches how you intend to charge the client.
GST
Use the GST toggle to control whether GST applies to the fee item.
If GST applies, turn the toggle on.
If GST does not apply, leave it off.
Add to quote
Use the Add to quote toggle to control whether the fee item appears in the client-facing quote or agreement.
Turn this on for items that should be included in the quote.
Turn this off for internal items that should not appear in the client quote.
Action
Use the Action column to remove a fee item if it is no longer required.
Build a fee schedule while creating a matter
You can also customise a fee schedule while creating a matter.
After you initiate a matter and select an agreement, you will be taken to the Fee agreement builder.
The Fee agreement builder includes three tabs:
Overview
Agreement content
Fee schedule
Click Fee schedule to review and adjust the pricing for that specific matter.
If a fee schedule template already exists for the selected visa service, the fee items may automatically populate. You can then customise the fee schedule for the individual client before sending the agreement.
Review the fee schedule before sending
Before sending an agreement for signing, review the full fee schedule carefully.
Check that:
The correct visa service has been selected
All professional fees are accurate
Government fees and disbursements are correct
GST is applied correctly
Payment terms are correct
Only the relevant items are included in the quote
Any unnecessary items have been removed
Once you are happy with the agreement and fee schedule, click Save & Continue.
Preview a fee schedule
You can preview a fee schedule from the agreement actions menu.
To preview a schedule:
Open the relevant matter.
Go to the Agreements tab.
Locate the agreement.
Click the three dots under the Action column.
Select Preview Schedule.
This will show the fee items included in the agreement, including the service, fee type, amount, GST setting, quote status, due date, and current status.
Important notes
Fee schedules become part of the client agreement, so all fees should be checked before the agreement is sent for signing.
If the agreement has already been sent or signed, changes may require a revised agreement.
Only include fee items in the quote if they should be visible to the client.
Payment terms should match how and when you expect the client to pay.
If you are unsure whether a fee should be treated as a professional fee, government fee, disbursement, or miscellaneous charge, confirm internally before sending the agreement.
Troubleshooting
I cannot find Service manager
Go to Manage in the left-hand menu, then select Service manager.
If you cannot see this option, your user role may not have permission to access it.
I cannot build a fee schedule
Check that you are in Manage > Service manager and that you have selected the three dots under the Action column for the correct service.
If the option is unavailable, your account permissions may need to be updated.
I added a fee item but it is not showing in the quote
Check whether the Add to quote toggle is switched on for that fee item.
If it is switched off, the item may not appear in the client-facing quote.
GST is not appearing correctly
Review the GST toggle for each fee item.
GST is configured at the fee item level, so each item should be checked individually.
I selected the wrong payment terms
Open the fee item and update the payment terms before sending the agreement.
If the agreement has already been sent or signed, you may need to revise the agreement.
I need to remove a fee item
Use the red remove icon in the Action column to delete a fee item.
Check the fee schedule again before continuing.
The fee schedule did not populate when creating a matter
The selected visa service may not have a fee schedule template configured.
You can either build the fee schedule manually in the matter, or return to Manage > Service manager to create a reusable template for that service.

Can I create fee schedule templates?
Yes. Fee schedule templates can be created from Manage > Service manager by selecting a visa service and choosing Build fee schedules.
Can I customise a fee schedule for one client?
Yes. You can customise the fee schedule during the matter creation process in the Fee agreement builder.
Can I add multiple fee items?
Yes. You can add multiple fee items under each category, including Professional Fees, Home Affair Fees, Disbursements, and Miscellaneous.
Can I preview the fee schedule before the client signs?
Yes. Open the matter, go to Agreements, click the action menu, and select Preview Schedule.
Can I revise a fee schedule after an agreement is sent?
If changes are required after sending an agreement, you may need to revise the agreement so the client receives the updated version.
Can I hide a fee item from the quote?
Yes. Turn off Add to quote for any fee item that should not appear in the client-facing quote.
