How to Use the Calendar Tool

Learn how to set up, manage, and share your events with students and clients.

Xperiencify's Calendar tool lets you share upcoming events, trainings, or calls in one easy-to-access place right inside your course. Your students can view the schedule, add events to their own calendars, and easily stay up to date with any changes.

First: Setup Your Calendar in Your Admin Account

From your admin dashboard, navigate to the Calendars & Events tab

You have a Main Calendar by default. You can also add as many additional calendars as you choose.

Click "Add" to Create a New Calendar or New Event:

Click a calendar to select it. The calendar name will appear in bold when it’s selected, and you can then add events to it.

Once you've clicked "Add", you'll create an Event, and fill in the info:

Next, Add a Calendar Widget to Your Course

Once you have set up your calendar, you’ll need to add your calendar widget to one or more pages in your course so your students will be able to view it.

Open the course where you'd like to add the Calendar, and navigate to Step 4

Edit the page where you'd like to add the Calendar, and drag a calendar widget onto the page

Hover over the Block to Edit the Block's Content:

Edit your Title and Description, and select which Calendar's Events you'd like to show. (You can show events from one Calendar only, or from multiple Calendars)

You have the option to customize the block's background, color, and fonts.

Be sure to save your changes, and click "Preview" to see how the Calendar will look for your students.

Students can easily subscribe and add events to their own Apple, Google, Office 365 or Outlook Calendar with a single click.

FAQ's

I set a notification for a calendar event, but my student's didn't receive it. What happened?

When you add a reminder (like “1 hour before”) to your course calendar, that setting is passed into the calendar feed. But the actual notification is controlled by your student’s own calendar app (Google, Apple, Outlook, etc.), not by Xperiencify directly.

This means two things:

  1. Students need to subscribe to your course calendar so the events (and reminders) show up on their personal calendar.

  2. Notifications depend on their calendar settings. If they’ve turned off alerts on their phone or computer, they won’t get a pop-up — even if you set one.

So if students didn’t see the reminder, it usually means they either:

  • Haven’t subscribed to the calendar yet, or

  • Don’t have notifications turned on in their calendar app.
