Kube comes with standard email templates that your members, leads, and companies receive after certain tasks are completed in Kube, the Member Portal, and the Prospect Portal. Members can opt out of marketing emails from the My Account section in the Member Portal. For a list of email triggers and recipients, see Email template triggers and recipients.
You can customize email templates for all of your properties at once in the System Settings section or individually for each property within the property's record. If you make changes to property email templates, any system email changes you later make do not override the changes you made to property email templates.
This article describes editing system email templates, but editing both system and property email templates follows the same process. To edit property email templates, select your property on the Properties screen and click Email Templates in the side menu before starting Step 3 below.
This article is part of the Kube system setup flow and the Kube property setup flow. For more information, see Kube setup checklist.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
TIP: You can deactivate property email templates if you do not want to use them by clicking the three dot Additional Options button next to a template and selecting Deactivate.
To review and edit email templates
Select your Personal Profile in the top menu.
Select System Settings from the drop-down menu. The Operator Details screen appears.
Select Email Templates in the side menu.
Locate the email template you want to edit and click the email template's name.
Click the Edit button.
Edit the template as desired.
TIPS:
You can add one email address each to the CC Email and BCC Email fields. The email address in the CC Email field receives the email and can be seen by the recipient of the email. The email address in the BCC Email field receives the email and cannot be seen by the intended recipient of the email.
Click the Add Attachment button to add any attachments you want included in the email. The total size of the combined attachments should not exceed 10MB.
Click the Insert Data Field drop-down menu to add tokens to the email template. Tokens pull in dynamic information based on the recipient of the email. For more, see Email template token list.
CAUTION: Do not copy and paste tokens between email templates.
Click the Revert to Default button to return a template to the default Kube template.
Click Save.
TIPS:
The next step in the Kube system setup process is to create email workflow templates. For more information, see Adding an email template for email workflows.
Editing email templates is the last step in setting up Kube property settings. For more information, see Kube setup checklist.
