Adding a notice to vacate workflow

Updated over 4 months ago

The notice to vacate (NTV) workflow allows you to set the NTV period based on a contract's term and a space's capacity. Kube uses the NTV period from the workflow if the criteria are met; otherwise, Kube uses the default set at the system or property level. For more information about setting the default NTV period, see Setting a properties notice to vacate time frame.

This article describes adding a NTV workflow.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

Adding a notice to vacate workflow

  1. Select your Personal Profile in the top menu and select System Settings in the drop-down menu. The Operator Profile screen appears.

  2. Select Workflows in the side menu. The Contract Approvals screen appears. Select the Notice to Vacate tab.

  3. Click the Add button for either the Operator or Property.

TIP: The process for adding an operator or property approval is almost identical. Differences are noted in the Add NTV Calculation Matrix Workflow Screen Reference at the end of this article.

  4. Complete the fields. For field descriptions, see the Add NTV Calculation Matrix Workflow Screen Reference at the end of this article.

  5. Click Save.

TIP: The next step in the Kube system setup process is to add email workflows. For more information, see Email Workflows Introduction.

Property

For property NTV calculations, select the properties you want the workflow to apply to.

NOTE: You can select multiple properties at once. When you save the approval, Kube creates one approval entry for each property on the Contract Approvals screen in the Property Approval Requirements section. If you need to edit the approvals later, you must edit each one individually.

This field does not show for operator workflows.

Contract Term (In Months)

Enter the range of contract terms the workflow should apply to. For example, if you enter 6 in the From field and 8 in the To field, the workflow applies to contracts with 6, 7, or 8 month terms.

Space Capacity From

By default, the workflow starts with 0, or no space. You can subsequently enter 0 in the Space Capacity To field if the first calculation should apply to contracts without a space.

Space Capacity To

The maximum space capacity that is considered for the calculation before the next calculation is considered, or the workflow is not applied.

NTV

Enter the number of days or months for the NTV period.

TIP: Use the Add button to add additional contract term ranges.
