Managing tours in the Activity Feed

A tour is an event at one of your properties in which an internal user shows the customer the property and its spaces. Tours are managed as Activity Feed items and are updated by editing tour details and status. The Activity Feed is a customer relationship management tool that allows you to add notes, tasks, activity logs, files, tours, and events to different records in Kube.

Kube compiles Activity Feed events, tasks, and tours in the Activity Calendar and all Activity Feed items on the Activity Feed tab. For more information, see Activity Calendar screen overview and Activity Feed.

This article describes how to create and manage tours in the Activity Feed.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

To create a new tour

  1. Select either Customers > Members, Leads, or Contacts in the top menu.

  2. Locate the user's record in the grid and click the Add/View Activity button.


    TIP: You can also access the Activity Feed from the Contacts menu when viewing a company record.


  3. Click the Tours tab.

  4. Select a property and complete the fields. For field descriptions, see the Tour Screen Reference at the end of this article.

  5. Click Submit.

To update a tour

  1. Select either Customers > Members, Leads, or Contacts in the top menu.

  2. Locate the user's record in the grid and click the Add/View Activity button.


    TIP: You can also access the Activity Feed from the Contacts menu when viewing a company record.


  3. Click the Tours tab.

  4. Locate the tour in the history and click the edit button.

  5. The Edit Activity menu appears.

  6. Make changes as desired. For field descriptions, see the Tour Screen Reference at the end of this article.

  7. Click Save.

To cancel a tour

  1. Select either Customers > Members, Leads, or Contacts in the top menu.

  2. Locate the user's record in the grid and click the Add/View Activity button.


    TIP: You can also access the Activity Feed from the Contacts menu when viewing a company record.


  3. Click the Tours tab.

  4. Locate the tour in the history and click the cancel button.

  5. Kube updates the status of the tour to Canceled.

  6. To view the original details of the tour, click the edit button.

Tour Screen Reference

Property

Select the property the tour is at.

Spaces

Select the spaces included in the tour.

Date

Select the date of the tour.

Time

Select the start time of the tour.

Duration

Select how long the tour will last. You can select up to four hours.

Assigned To

Select the internal user the tour will be assigned to.

NOTE: Kube adds the tour to the internal user's My Tasks screen and shows a notification when the tagged person logs into Kube.

Attendee

Existing Contact is selected by default.

Contact Type

Select Leads, Members, or both to filter results to that contact type in the Attendees field that appears below.

Attendees

Select who will attend the tour. Either type their name in the field or click the Additional Options button to select their name from a list. This field only appears if a Contact Type is selected.

Status

Select the status of the tour. For more information about managing tour statuses, see Customizing a tour status.

Comments

Enter notes about the tour.
